Department: Ophthalmology
Reports To: Practice Manager
Employment Type: Full-Time

Position Summary

Metrolina Eye is seeking a detail-oriented and compassionate Referrals Coordinator to support our growing ophthalmology practice. This role is essential in ensuring a smooth referral and authorization process that supports timely patient care, strong relationships with referring providers, and compliance with insurance requirements. The ideal candidate thrives in a fast-paced private practice environment and is committed to delivering exceptional patient service.

Referral Management

Process all incoming and outgoing referrals for ophthalmology services in a timely and accurate manner
Verify referral requirements and obtain prior authorizations for ophthalmic visits, procedures, and diagnostic testing if needed
Coordinate referrals across ophthalmology subspecialties, including retina, glaucoma, cornea, oculoplastic, and cataract services
Track referral status and follow up to ensure completion and continuity of care
Cross function with two other referral team mates

Patient & Provider Communication

Serve as a liaison between patients, referring providers, and ophthalmologists.
Educate patients on referral requirements, timelines, and scheduling expectations
Maintain professional relationships with external referring offices and healthcare partners

Scheduling & Practice Coordination

Coordinate referral-related appointments and diagnostic testing
Ensure referral documentation is complete prior to patient visits
Collaborate with front desk, technicians, and providers to optimize clinic workflow

Documentation & Compliance

Accurately document referrals and authorizations in the electronic health record (EHR) and referral management platforms.
Maintain compliance with HIPAA, payer policies, and Metrolina Eye procedures
Assist with reporting, audits, and performance tracking as needed

Qualifications

Education & Experience

High school diploma or equivalent required; associate degree preferred
Minimum of 1–2 years of experience in medical referrals, prior authorizations, or ophthalmology/private practice setting preferred
Familiarity with ophthalmic terminology and procedures strongly preferred

Skills & Competencies

Strong knowledge of insurance plans, referral workflows, and authorization processes
Excellent organizational, communication, and interpersonal skills
High attention to detail and accuracy
Exceptional phone skills and follow through
Proficiency with EHR systems and standard office software
Ability to manage multiple priorities in a fast-paced private practice environment
