Meetings & Member Services Coordinator Job Posting

RGI is seeking a highly organized, customer-service focused Meetings & Member Services Coordinator to support multiple association clients and assist with day-to-day office operations. This role is ideal for someone who enjoys variety in their work, thrives in a fast-paced environment, and can balance member support, event coordination, administrative tasks, and operational responsibilities with a high level of professionalism and attention to detail.

RGI is an AMC Institute Accredited Association Management Company. We provide outsourced association management, event planning and consulting services for dozens of nonprofits, trade associations and professional societies. We provide a number of services for our clients, including strategic planning, financial management, executive management, membership development, marketing/public relations, publications and social media, educational/professional development, and meeting/event planning, among others.

RGI has been named as Best Places to Work in Indiana for the past six years.

Work Schedule
Regular work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with flexibility as needed. This position follows a hybrid schedule with up to two remote workdays per week and at least three days working in the office. Some scheduled in-office days may be required to support RGI operations.

Travel Requirements
This position requires travel for up to three events (2-3 nights each) in Indiana and Michigan. Must be able to travel independently by car (mileage reimbursement provided). At the event, must be able to work extended hours, stand for long periods of time, navigate event venues both indoors and outdoors, and occasionally lift up to 25 lbs.

Responsibilities:

Membership & Customer Service

Serve as a primary point of contact for association members, customers, and stakeholders by phone, email, and online platforms.
Process new member applications, onboarding, renewals, dues, fees, and membership communications.
Maintain accurate membership and customer records within association databases and systems.
Generate membership, registration, financial, and engagement reports as requested.
Respond to member questions and provide solution-oriented customer support.
Support membership recruitment, retention, and engagement initiatives.
Maintain and distribute membership lists, directories, and related documentation.

Meetings, Events Coordination

Coordinate event registration systems, attendee records, reporting, and communications.
Assist with planning and execution of meetings, conferences, tournaments, and member events.
Coordinate event administrative activities including registration tracking, participant communications, documentation follow-up, and reporting.
Prepare event materials including badges, signage, attendee lists, handouts, and registration supplies.
Coordinate sponsor and exhibitor communications and fulfillment.
Support onsite registration, attendee check-in, and event logistics.
Work with volunteers, committees, vendors, venues, and staff to support successful events.
Assist with post-event follow-up, reporting, invoicing, and reconciliation activities.

Financial & Administrative Support

Record and reconcile payments, deposits, invoices, and related financial documentation.
Generate invoices and follow up on unpaid balances.
Collect and prepare invoices and supporting documentation for processing.
Maintain spreadsheets, logs, trackers, and operational documentation with a high degree of accuracy.
Assist with scheduling meetings, preparing materials, and supporting leadership and committees.
Support internal operational processes and recurring administrative responsibilities.

Office & Operations Support

Sort and distribute incoming mail, packages, and checks.
Maintain office and event supply inventories and coordinate orders as needed.
Serve as a liaison with vendors, property management, and service providers regarding office needs and maintenance.
Assist with front-office responsibilities including phone coverage and operational coordination.
Support internal documentation, procedures, timelines, and accreditation-related processes.
Update websites, templates, forms, and operational resources as needed.

Required Skills and Qualifications:

Bachelor's Degree preferred and 2 years of internship or job experience in customer service, meeting planning, or administrative support;
Proficiency in Microsoft Office, particularly Outlook, Word, and Excel;
Strong written, verbal, and interpersonal communication skills;
Excellent customer service skills with a solution-oriented approach across phone, email, and in-person interactions;
High attention to detail while maintaining awareness of broader project goals;
Strong organizational skills with the ability to manage multiple priorities and meet deadlines;
Ability to work independently with minimal supervision while maintaining accountability for results;
Ability to manage and utilize available resources to complete tasks efficiently
Demonstrated initiative, including anticipating needs, identifying issues, and proactively solving problems;
Ability to collaborate effectively with team members, volunteers, and stakeholders to achieve shared goals;
Experience organizing and maintaining information in spreadsheets, systems, or other structured formats with a high level of accuracy;
Demonstrated ability to learn new software quickly and apply them effectively;
Strong problem-solving skills, including identifying discrepancies and developing practical solutions;
