Full Job Description

About the Role

We are seeking a highly organized, professional, and detail-oriented Surgery Scheduler to join our high-end private OB/GYN practice. This role is dedicated exclusively to coordinating and scheduling surgeries for our patients, ensuring each case is handled with precision, discretion, and the highest level of patient care.

Responsibilities

Serve as the primary point of contact for patients regarding surgery scheduling.
Coordinate all aspects of surgical scheduling, including physician availability, hospital/ASC schedules, and patient preferences.
Communicate clearly with patients regarding procedure details, required documentation, pre-operative instructions, and arrival times.
Verify insurance coverage and coordinate with billing/authorization teams to confirm surgical approvals.
Maintain up-to-date knowledge of surgery protocols, timelines, and required pre-operative testing.
Ensure all documentation (consents, medical history, labs, imaging, etc.) is obtained and prepared in advance of scheduled procedures.
Track and manage the surgery calendar, proactively resolving scheduling conflicts.
Provide exceptional concierge-level service to patients, maintaining the luxury practice standard of professionalism and care.
Collaborate with physicians, nursing staff, and hospital/ASC personnel to ensure seamless execution of all surgical cases.
Maintain confidentiality of all patient records and comply with HIPAA and practice policies.

Duties

Manage and coordinate patient appointments using various EMR systems such as Epic, Meditech, Athenahealth, eClinicalWorks
Perform medical scheduling tasks while ensuring compliance with HIPAA regulations.
Review documentation for accuracy and completeness in accordance with CPT coding and ICD-10/ICD-9 standards.
Assist with insurance verification and patient intake processes to facilitate seamless patient service.
Provide clerical support including filing, typing, and maintaining medical records in an organized manner.
Utilize multi-line phone systems to handle incoming calls with professionalism and excellent phone etiquette.
Collaborate with healthcare providers to develop care plans and ensure timely follow-up on patient needs.
Maintain a clean and efficient desk area while delivering exceptional customer service to patients and visitors.

Qualifications

Prior experience scheduling surgeries in a medical office, hospital, or ASC preferred.
Strong knowledge of insurance verification and pre-authorization processes.
Exceptional organizational skills with meticulous attention to detail.
Professional, polished communication skills - both verbal and written.
Ability to handle sensitive patient interactions with empathy, discretion, and tact.
Proficiency with EMR/EHR systems (experience with AthenaOne is a plus).
Ability to thrive in a fast-paced, high-volume, luxury practice environment.
