Full Job Description

Position Overview

We are seeking a dependable, organized, and customer-focused Bilingual Office & Operations Coordinator to provide administrative, customer service, and day-to-day operational support for a small, growing cleaning business.

This position will work closely with the owner to keep the office running smoothly, communicate with clients and cleaning crews, coordinate daily schedules, and ensure customers receive excellent service. The ideal candidate is proactive, comfortable multitasking, and willing to jump in wherever needed—including occasionally helping cleaning crews on-site when extra hands are needed.

Key Responsibilities

Answer incoming phone calls and respond to customer inquiries in a professional and friendly manner.
Provide exceptional customer service and build positive relationships with clients.
Schedule cleaning appointments and coordinate changes, cancellations, and special requests.
Schedule and dispatch cleaning crews to the appropriate locations and communicate where they need to be and what time they are expected to arrive.
Communicate daily schedules and job details clearly to cleaning crews.
Send appointment confirmations and reminder emails/texts to clients.
Handle customer complaints, questions, and concerns promptly and professionally.
Follow up with clients to ensure satisfaction with cleaning services.
Communicate with cleaners regarding job instructions, scheduling changes, and client requests.
Assist the owner with general administrative and office duties.
Maintain accurate customer, scheduling, and service records.
Use Microsoft Office for email, documents, spreadsheets, scheduling, and other administrative tasks.
Help identify and resolve scheduling or operational issues as they arise.
Assist with keeping the business organized and running efficiently.
Be willing to occasionally assist cleaning crews with hands-on cleaning or other tasks when needed.

Qualifications & Skills

Fluent in both English and Spanish—speaking, reading, and writing.
Previous customer service, office administration, scheduling, dispatching, or similar experience preferred.
Excellent communication and interpersonal skills.
Strong organizational and time-management skills.
Proficient in Microsoft Office, including Outlook, Word, and Excel.
Comfortable answering phones and communicating with customers and employees.
Ability to multitask, prioritize, and stay organized in a fast-paced environment.
Professional, dependable, and friendly demeanor.
Strong problem-solving skills and ability to handle customer concerns calmly and professionally.
Self-motivated and able to work independently.
Hands-on attitude: willing to step in and help with cleaning duties when needed rather than being afraid to get their hands dirty.
Ability to coordinate multiple crews and appointments while maintaining attention to detail.
