At Creative Solutions for Hope (CSH) we are a team of passionate professionals providing Applied Behavior Analysis (ABA) services to children with developmental disabilities, learning disabilities, and autism spectrum disorders. We are constantly looking for individuals with a heart for making a difference in the lives of others. We are willing to train if you have administrative experience and a strong attention to detail.

Qualifications:

- At least 18 years of age

- 1 year of administrative experience

- Ability to handle multiple responsibilities simultaneously.

- Strong attention to detail

- Ability to read, write, and communicate in English

- Ability to work M-F 10:30am-7:30pm

Job Description:

We are seeking a motivated and dedicated Internal Auditing Assistant to join our team. This role involves auditing and scheduling responsibilities under the supervision of one of the company’s directors. The ideal candidate will thrive in a dynamic environment, excel in multitasking, and work effectively both independently and as part of a team. Strong organizational skills and attention to detail are essential for contributing to the daily operations and success of our company. The candidate would also be requested to cover the front desk as needed and requested.

Responsibilities

Review each client’s schedule twice a month (at the start and end of the month)
Review appointments and make sure the appointments that are rendered align with the funding source requirements (refer to the Current Procedural Terminology Code Sheets)
Review the service codes schedule on the sessions as per staff credential requirement by each funding source
Review for overlap billing per funding source requirement
Communicate with the managers and team to get all the discrepancies corrected and resolved
Provide reports on discrepancies found with client scheduling to supervisor after completing auditing
Review each staff’s schedule on a weekly basis
Review staff schedules for meal break violation, overtime (OT) and make sure we have OT approval
Review staff schedules and verify travel appointments are added between clients if applicable and ensure that the correct pay code and mileage have been applied.
Make sure each appointment has the correct pay code as per services provided by staff can be billable and non-billable time.
Run reports to check for mileage and pay code discrepancies before payroll processing.
Run NPA lock/render report and send email to staff reminding to lock there NPA in timely manner (email will be sent every week Friday, Monday and Tuesday)
Run un-render appointments report and send email to staff to complete rendering their appointments in timely manner (email will be sent every week Friday, Monday and Tuesday)
Help with front desk coverage when needed and requested.

Experience
- Previous experience in a healthcare setting or medical office administration is preferred
- Proficiency in using scheduling software and electronic health records systems
- Strong administrative skills with attention to detail
- Ability to multitask in a fast-paced environment
- Excellent communication and interpersonal abilities
