Location: Irvine, CA

Pay: $18-$20/ hour (DOE)

Alleviate Tax is seeking a highly motivated and detail-oriented correspondence clerk, who will be responsible for handling, organizing, and managing incoming and outgoing communications.

Responsibilities:

Process Incoming Mail: Sort and direct mail to the appropriate channels.
Client Mail Management: Sort, organize, scan, and upload client mail into the CRM system.
Fax Management: Receive and upload inbound faxes; assist staff with outbound faxing as needed.
Document Categorization: Accurately categorize and name documents such as IRS notices, state notices, financial records, profit and loss statements, and tax preparation forms. Follow established procedures and notify the appropriate team members of the documents received.
Process Outgoing Mail Requests: Accurately mail out requested documents to clients, taxing authorities, third parties, etc.
Tax Return Mailing: Mail tax returns and supporting documents to the correct tax offices.
Client Signatures: Mail documents to clients for signature, ensuring all forms are properly executed and appropriate "Sign Here" stickies are applied.
Certified Mail Handling: Send, document, and track certified mail; ensure proper tracking procedures are followed for various departments.
Document Accuracy Checks: Review outgoing Power of Attorney forms, IRS, and state forms for accuracy before mailing.
Team Communication: Communicate effectively with staff via email and Microsoft Teams to ensure smooth operations.

Requirements/ Qualifications:

Proficient in Adobe, Outlook, Word & Excel
Hardworking
Strong organizational & time-management skills
Excellent communication skills
Ability to multi-task, prioritize tasks and remain flexible
