Job description:

The Automotive Business Office Personnel supports the daily financial and administrative operations of the dealership. This role is responsible for assisting with accounts payable (AP), accounts receivable (AR), DMV/title processing, and general office duties to ensure accurate and efficient business operations.

Key Responsibilities:

Accounts Payable (AP):

Process vendor invoices and verify accuracy
Match invoices to purchase orders and receiving documents
Prepare and issue payments in a timely manner
Maintain organized records of all payable transactions
Communicate with vendors regarding billing discrepancies

Accounts Receivable (AR):

Post customer payments and reconcile accounts
Monitor and follow up on outstanding balances
Process cash, checks, and electronic payments
Assist with month-end AR reporting and reconciliations

DMV / Title & Registration:

Process vehicle titles and registration paperwork accurately
Submit documents to DMV in compliance with state regulations
Track title status and resolve any discrepancies or delays
Ensure proper documentation for all vehicle sales transactions

General Office Administration:

Maintain filing systems (physical and digital)
Assist with deal posting and documentation review
Support office staff with clerical tasks and data entry
Answer phones and assist internal/external inquiries
Ensure compliance with dealership policies and procedures

Qualifications:

Previous experience in automotive dealership office operations preferred
Knowledge of AP/AR processes and basic accounting principles
Familiarity with DMV/title processing is highly desirable
Strong attention to detail and organizational skills
Proficiency in Microsoft Office (Excel, Word) and dealership management systems REYNOLDS/CDK EXPERIENCE IS A PLUS
Ability to multitask in a fast-paced environment
Excellent communication and problem-solving skills

Preferred Skills:

Experience with dealership accounting software
Understanding of contracts, funding, and deal structure
Ability to handle confidential financial information with integrity

Work Environment:

Office setting within an automotive dealership
May require extended hours during month-end closing

Pay: $25.00 - $30.00 per hour
