Sr Program & Event Coordinator
Irvine, CA/ Full-time
Your responsibilities
Leads the planning, execution, and continuous improvement of national programs, events, and meetings across all EDC locations. Serves as the central point of coordination to ensure seamless execution, operational consistency, effective vendor management, and process optimization while delivering high-quality experiences for customers, trade partners, sales and internal teams.
Executes strategic marketing initiatives to drive brand visibility across the U.S. Experience & Design Centers (EDCs), optimize performance, and strengthen partnerships with sales and dealers. Collaborates with EDC Managers, Regional Directors, VPs, and cross-functional teams to align initiatives with business objectives and enhance customer, trade partner, and sales engagement.
Drives integrated marketing and event strategies that enhance customer experience, increase engagement, support sales objectives, and elevate brand presence within the EDC network. Oversees promotional planning, communication coordination, performance tracking, and post-event analysis to identify opportunities for continuous improvement and increased business impact.
Program, Event Planning & Execution
- Independently plans, manages, and executes national and regional events and programs (e.g., builders, dealers, trade professionals) across multiple US time zones.
- Serves as the primary contact for program development, execution, and coordination.
- Collaborates closely with EDC Managers and Admin/Purchasing to select and manage program vendors, ensuring quality and consistency.
- Develops, manages, and maintains event websites and program communications following brand standards.
- Partners with travel agents to coordinate guest travel and logistics.
- Sends pre- and post-event communications, including invitations, confirmations, and follow-ups.
- Oversees day-of event logistics on-site at home EDC; ensures high-touch, positive guest experiences.
- Manage event details at home EDC location from inception to execution (e.g., catering, florals, decor, etc.)
Strategic Marketing & Partnership Development
- Develops and executes strategic marketing initiatives, trade programs, and experiential activations that strengthen brand visibility, drive customer engagement, and support product launches, seasonal initiatives, and experiential events across all EDC locations to ensure consistency, operational excellence, and high-impact customer experiences.
- Manages multiple marketing and event-related projects simultaneously, overseeing timelines, budgets, deliverables, resources, and vendor coordination to ensure initiatives are executed efficiently, on schedule, and within scope.
- Builds and maintains sales growth across the U.S. Experience & Design Center (EDC) network for Bosch, Thermador, and Gaggenau brands.
- Bridges the connection between marketing strategy and EDC execution by aligning promotional initiatives, customer experiences, and sales support tools with overall business objectives and brand standards.
- Collaborates cross-functionally with sales, brand, operations, trade marketing, and EDC leadership to develop integrated campaigns, showroom activations, and customer engagement strategies that enhance brand awareness and business performance.
- Leads the planning, coordination, and execution of marketing programs, promotional campaigns, strong relationships with key stakeholders, trade partners, buying groups, agencies, vendors, and industry organizations to foster collaboration, strengthen partnerships, and support strategic business objectives.
- Serves as a strategic partner to EDC teams and Trade Marketing Managers by coordinating marketing communications, promotional materials, and brand initiatives while ensuring alignment with established brand standards, operational procedures, and communication guidelines.
- Partners with trade marketing and digital teams to maintain accurate and current promotional messaging, digital content, and brand representation across external platforms, partner websites, and EDC-related marketing channels.
- Monitors and evaluates the effectiveness of marketing initiatives, campaigns, and customer engagement efforts by gathering stakeholder feedback, tracking performance metrics, and identifying opportunities for continuous improvement and increased ROI
- Develops and delivers professional presentations, executive summaries, and marketing recaps for leadership meetings, partner engagements, customer presentations, and internal training sessions.
- Supports the development and maintenance of marketing calendars, communication plans, campaign schedules, and event timelines to ensure organizational alignment and timely execution across all initiatives.
- Ensures all marketing assets, communications, collateral, events, and experiential activations reflect established brand standards, messaging consistency, and visual identity requirements.
- Contributes innovative ideas, customer insights, and strategic recommendations to support process improvements, enhanced customer engagement, and ongoing business growth opportunities within the EDC network.
- Supports additional strategic marketing initiatives, experiential programs, special projects, and departmental responsibilities as assigned to meet evolving organizational priorities and business needs.
Communication & Reporting
- Designs and executes guest surveys to assess experience and outcomes.
- Compiles and analyzes survey results to support continuous improvement efforts.
- Develops and supports creative communication strategies to enhance program visibility and engagement.
Stakeholder Engagement
- Works closely with EDC Managers to align program execution with business goals and local needs; meets weekly, or as needed.
- Builds and maintains effective working relationships with sales managers, regional managers, directors, VPs, etc.
- Acts as main point of contact for sales nominations and guest registration, follows up regularly to meet timelines
Process & Standards Management
- Develops, documents, and updates Standard Operating Procedures (SOPs) for program and event coordination.
- Trains EDC staff across locations on SOPs and event execution best practices.
- Tracks and reports on program outcomes using surveys and performance metrics; provides actionable insights monthly or as requested.
- Development and maintenance of event standards for continuity across all EDC’s
Project & Resource Management
- Maintains a centralized calendar of programs and events across EDCs.
- Manages event assets such as recipes, QR codes, digital links, and collateral resources.
- Coordinates with vendors and contractors, ensuring all quotes and invoices are properly communicated to Admins.
- Tracks budgets and spending, providing regular reports and ensuring alignment with program goals.
Additional Responsibilities
- Interfaces with showroom visitors, as a first point of contact at the reception desk, including designers, builders, and consumers, supporting both walk-in and appointment-based traffic, as needed.
- Utilizes CRM tools to engage with trade partners and strengthen dealer relationships.
- Supports showroom operations, including opening/closing duties and assisting guests.
- Participates in brand trainings and product updates annually.
- Assists with special events and projects outside of EDCs, as needed.
- Adapts quickly to shifting priorities with a proactive and solutions-oriented mindset.
- May be asked to travel to EDC locations
Your profile
- Bachelor’s degree (Hospitality, Marketing, Business Administration) – Required
- Certification (Cvent) – Required
- 5-7 Years of Experience (Sales, Brand Marketing, Hospitality, Event Management, Marketing) – Required
- Proven ability to independently manage multiple, high-impact events and programs with overlapping timelines with time-sensitive deliverables and minimal supervision.
- Detail-oriented and highly analytical, with a commitment to continuous improvement and creative problem-solving.
- Ability to adapt quickly to dynamic environments and shifting priorities.
- Strong written and verbal communication skills, including ability to develop professional-level presentations and event collateral.
- Exceptional organizational and time management abilities; able to juggle overlapping deadlines and time-sensitive tasks.
- Experience engaging with all levels of internal and external stakeholders
- Strong analytical skills, thriving on attention to detail and developing creative solutions to challenging problems

Your Pay & Benefits
The pay range posted for this position is based on the location noted in the posting title. Exact compensation offered may vary based on your specific skillset and work location. If the position is bonus or incentive eligible then the payments range from 0% to 200% of target with details laid out within the plan document.
