Full Job Description

Job description:

We are a fast-paced Trust Litigation, Probate, Trust Administration, and Estate Planning law firm seeking a highly motivated, detail-oriented Client Services Coordinator. This dual-faceted role is critical to our firm’s daily operations. You will fully own our accounts receivable, monthly client invoicing workflow, and trust accounting administration using Clio Manage while also providing vital administrative support to the client acquisition team.

Duties

Oversee the end-to-end monthly billing cycle using Clio Manage, ensuring accurate hourly billing statements are sent to clients in a timely manner.
Manage and process client payments through 8amLawPay, reconcile daily deposits, and meticulously track retainer Trust replenishments.
Proactively monitor accounts receivable, initiate consistent and professional collection efforts to maintain a high collection rate and prepare comprehensive status updates for the firm Owner.
Communicate professionally with clients regarding billing inquiries, trust account balances, etc.
Work collaboratively with firm Owner to address client billing issues and/or disputes.
Meet with attorneys to review upcoming caseloads, ensuring that billing requests or trust balance strictly align with the volume of work being completed.
Assist with managing multi-line phone systems efficiently, directing calls accurately, completing short intakes, scheduling, and providing exceptional customer service
Facilitate new client onboarding and existing client offboarding processes.

Skills

Proven experience in law firm billing, legal administration, or collections
Hands-on proficiency with Clio Manage and LawPay (or similar) is strongly preferred
Exceptional verbal and written communication skills. The ability to discuss past-due balances and trust replenishment firmly yet courteously with clients going through difficult time is essential
Exceptional phone etiquette and customer service skills to foster positive client relationships
Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
Excellent organizational skills with the ability to multitask efficiently in a busy environment
Must be diligent at tracking and following up on tasks
Strong attention to detail more specifically with respect to scheduling and preparing client agreements
A self-starter who takes ownership of the collections rate, enjoys organizing financial data, and excels at keeping firm leadership informed.

Pay
$25.00 - $35.00 per hour (DOE)

This is a full-time position in office.
