Overview
We are seeking a dynamic and friendly Front Desk Staff member to serve as the welcoming face of our organization. This vital role involves managing front desk operations with enthusiasm, ensuring smooth office management, and delivering exceptional customer support. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, including bilingual abilities, to create a positive first impression for visitors and callers alike. This paid position offers an exciting opportunity to develop your administrative expertise within a vibrant team environment.

Duties

Greet visitors warmly and direct them appropriately, ensuring a professional and friendly atmosphere at all times
Operate multi-line phone systems efficiently, answering inquiries and transferring calls with proper phone etiquette
Manage office supplies, organize files, and maintain accurate records through data entry and filing tasks
Support office management by scheduling appointments, managing calendars, and coordinating meetings using tools like Google Workspace and Microsoft Office
Provide exceptional customer service by responding promptly to inquiries via phone or in person and supporting client needs
Assist with clerical tasks such as proofreading documents, preparing correspondence, and handling basic bookkeeping using QuickBooks
Maintain a clean and organized front desk area while ensuring all administrative processes run smoothly and efficiently

Qualifications

Proven experience in front desk or office administration roles with strong organizational skills
Excellent computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
Bilingual abilities are highly preferred to effectively communicate with diverse clients and visitors
Strong phone etiquette with experience managing multi-line phone systems and providing customer support
Demonstrated clerical experience including filing, proofreading, calendar management, and basic bookkeeping (QuickBooks preferred)
Exceptional time management skills with the ability to prioritize tasks efficiently in a fast-paced environment
Previous personal assistant or administrative experience is a plus for supporting office operations effectively
