Operations Coordinator – Administration, AI & Proposal Management

Position Summary

The Operations Coordinator serves as the administrative and operational backbone of our organization.

This role combines executive administrative support, proposal management, business operations, compliance coordination, and process improvement into one exciting opportunity.

The successful candidate is highly organized, adaptable, proactive, and comfortable managing multiple priorities while maintaining exceptional attention to detail.

What You'll Do

Executive & Administrative Support

Manage daily office operations and administrative activities.
Provide direct administrative support to executive leadership.
Coordinate calendars, meetings, travel, and appointments.
Answer and route incoming phone calls professionally.
Prepare reports, presentations, business correspondence, and executive communications.
Maintain highly organized electronic and physical filing systems.
Coordinate office vendors, supplies, and facility needs.
Welcome visitors and provide outstanding customer service.
Handle confidential company and employee information with professionalism.
Assist leadership with special projects and company initiatives.

Proposal & RFP Management

Research and identify government, education, municipal, and commercial security bid opportunities.
Prepare professional responses to RFPs, RFQs, RFIs, and proposal requests.
Coordinate with Operations, HR, Finance, and Executive Leadership to gather proposal content.
Ensure every submission meets solicitation requirements and deadlines.
Maintain proposal libraries, resumes, certifications, licenses, references, and supporting documentation.
Track proposal schedules, contract renewals, awards, and upcoming opportunities.
Continuously improve proposal quality, organization, and submission efficiency.

AI, Technology & Process Improvement

We believe technology should make work easier—not more complicated.

We're looking for someone who enjoys learning and using modern AI tools to improve productivity and automate repetitive work.

Responsibilities include:

Utilizing AI tools such as ChatGPT, Microsoft Copilot, Google Gemini, Claude, or similar platforms to improve efficiency.
Researching new technologies that improve business operations.
Creating and improving templates, workflows, and internal processes.
Identifying opportunities for automation and increased productivity.
Supporting the implementation of new software and technology solutions.
Helping leadership leverage technology to scale the business.

Experience with AI is preferred but not required. What matters most is your curiosity, willingness to learn, and enthusiasm for embracing new technology.

Operations & Compliance Support

Assist with employee onboarding and personnel documentation.
Maintain licensing, certification, and compliance records.
Support contract administration and client documentation.
Monitor deadlines for licenses, renewals, certifications, and contracts.
Prepare operational reports and spreadsheets.
Assist with scheduling and staffing reports.
Coordinate internal projects across multiple departments.

Qualifications Preferred

Associate's or Bachelor's degree in Business Administration or related field.
Three or more years of administrative, operations, executive support, or project coordination experience.
Experience preparing RFPs, proposals, government bids, or technical documents.
Experience in private security, government contracting, construction, public safety, facilities management, or similar industries.
