Office Manager

Think Unified is a growth-focused Managed Service Provider (MSP) delivering IT strategy, security, cloud, and support services to businesses across the DFW area. We pride ourselves on operational excellence, proactive service, and long-term client partnerships.

We are seeking a highly organized, detail-driven Office Manager to oversee administrative operations, support leadership, and ensure smooth day-to-day business functions. This role is critical to maintaining internal efficiency and delivering a high-quality client experience.

Position Summary

The Office Manager is responsible for coordinating administrative, financial, and operational activities within the company. This role works closely with leadership, service operations, sales, and finance to ensure systems, processes, and documentation are accurate and efficient.

This individual must thrive in a fast-paced MSP environment, demonstrate strong attention to detail, and maintain confidentiality with financial and personnel information. This role is well positioned for growth into multiple areas of the business.

Key Responsibilities

Office & Administrative Operations

· Manage day-to-day office operations and vendor relationships

· Maintain organized digital and physical records

· Oversee office supplies and facility needs

· Coordinate internal meetings and company events

· Receiving equipment, coordinating with operations, and managing returns

Financial & Billing Support

· Invoicing and billing (monthly recurring services, projects, hardware) via ConnectWise

· Bookkeeping in QuickBooks Online including:

Manage A/R, A/P, vendor payments, and collections
Account reconciliation
Monthly and quarterly reports

· Manage purchasing and ensure margin accuracy

· Payroll administration and documentation via QuickBooks Payroll

· Maintain contract documentation and renewal tracking via ConnectWise Manage

MSP Operations Support

· Customer communication (answer inbound calls, respond to customer requests for billing clarification)

· Ensure service contracts and agreements are properly documented

· Support reporting for leadership (KPIs, utilization, revenue tracking)

· Coordinate logistics between departments

· Maintain compliance documentation (insurance, vendor agreements, etc.)

HR & Compliance Support

· Maintain employee records and personnel documentation

· Assist with benefits coordination

· Support hiring logistics and interview scheduling

· Ensure adherence to company policies and local employment requirements

Qualifications

Required

· 3+ years experience in office management, operations, or administrative leadership

· Strong organizational and multitasking skills

· Experience supporting financial or billing processes

· Experience with QuickBooks (preferably QuickBooks online)

· High proficiency in Microsoft 365 (Excel, Outlook, Teams)

· Excellent written and verbal communication skills

· Ability to handle confidential information with discretion

Preferred

· Experience working in a Managed Service Provider (MSP) or IT services company

· Familiarity with PSA tools (ConnectWise)

· Experience supporting billing for recurring service contracts

· Understanding of basic accounting principles
