Industrial Boiler Department Service Manager
Department: Industrial Boiler Services
Reports To: Director of Operations / General Manager
Location: RushCo Energy Specialists Inc.
Position Summary
The Industrial Boiler Department Service Manager is responsible for leading the daily operations of RushCo's Industrial Boiler Service Department. This position oversees field service technicians, coordinates service schedules, ensures customer satisfaction, manages departmental performance, and promotes a culture centered on safety, quality, and operational excellence.
The Service Manager will provide technical leadership while ensuring all boiler service work is performed safely, efficiently, and in compliance with applicable codes, regulations, and company standards. This individual will work closely with customers, project managers, dispatch, sales, and company leadership to maintain RushCo's reputation for exceptional service throughout the industrial and commercial markets.
Essential Duties and Responsibilities
Department Leadership
- Lead, supervise, coach, and develop Industrial Boiler Service personnel.
- Schedule and prioritize service calls, emergency repairs, preventive maintenance, startups, inspections, and commissioning activities.
- Monitor Personnel productivity, efficiency, and billable utilization.
- Conduct regular performance reviews and provide ongoing coaching and professional development.
- Assist in recruiting, interviewing, hiring, onboarding, and retaining highly qualified service personnel.
- Foster a culture of accountability, teamwork, professionalism, and continuous improvement.
Operations Management
- Manage daily service operations to ensure customer expectations and contractual obligations are consistently met.
- Coordinate labor, equipment, materials, subcontractors, and resources to maximize efficiency.
- Review work orders for accuracy, completeness, and profitability.
- Assist technicians in troubleshooting complex boiler and combustion system issues.
- Support field personnel with technical guidance and operational decision-making.
- Monitor department Key Performance Indicators (KPIs) including response times, labor utilization, callback rates, customer satisfaction, and profitability.
- Ensure accurate documentation of service reports, inspections, maintenance records, and customer communications.
Technical Responsibilities
Oversee maintenance, troubleshooting, repair, startup, and commissioning of:
- Firetube boilers
- Watertube boilers
- Steam and hot water boilers
- Burners and combustion systems
- Boiler controls and automation systems
- Feedwater systems
- Condensate return systems
- Deaerators
- Pumps and hydronic systems
- Heat exchangers
- Steam distribution systems
- Chillers (when required)
- Mechanical room equipment
- HVAC equipment associated with boiler systems
Safety Leadership
- Champion RushCo's Safety First culture.
- Ensure compliance with OSHA regulations, company safety policies, customer safety requirements, and industry best practices.
- Promote active participation in weekly safety meetings, toolbox talks, and ongoing safety training.
- Ensure Job Hazard Analyses (JHAs), permits, Lockout/Tagout (LOTO), Confined Space, Hot Work, and other required safety procedures are completed before work begins.
- Conduct field safety observations and jobsite audits.
- Investigate incidents, near misses, and safety concerns while implementing corrective actions.
- Mentor employees on safe work practices and hazard recognition.
Customer Relations
- Build and maintain strong relationships with customers.
- Respond promptly to customer concerns and emergency service needs.
- Participate in customer meetings, facility walkthroughs, and equipment assessments.
- Identify opportunities for additional maintenance agreements, repairs, upgrades, and equipment replacements.
Financial Responsibilities
- Assist with developing and managing departmental budgets.
- Monitor labor costs, overtime, vehicle utilization, inventory, and equipment expenses.
- Ensure efficient use of company resources and tools.
- Review purchasing requirements and inventory levels.
- Support departmental profitability through efficient scheduling and operational planning.
Quality Assurance
- Ensure all work meets RushCo quality standards and customer expectations.
- Verify completed work complies with applicable codes, manufacturer recommendations, and engineering specifications.
- Conduct periodic field audits and quality inspections.
- Promote continuous improvement throughout the department.
Administrative Responsibilities
- Maintain accurate employee certifications and training records.
- Review personnel timesheets and payroll information.
- Assist with employee scheduling and on-call rotations.
- Coordinate training programs and technical certifications.
- Prepare departmental reports and operational metrics for leadership.
Required Qualifications
- Minimum of five (5) years of industrial boiler service experience.
- Minimum of three (3) years of supervisory or management experience leading service technicians.
- Strong knowledge of industrial steam and hot water boiler systems.
- Experience with combustion controls, burner management systems, flame safeguard controls, and combustion tuning.
- Working knowledge of pumps, piping systems, valves, controls, heat exchangers, HVAC equipment, and mechanical systems.
- Strong understanding of OSHA regulations and industrial safety practices.
- Ability to read mechanical drawings, P&IDs, electrical schematics, and control diagrams.
- Excellent leadership, communication, organizational, and problem-solving skills.
- Proficiency using Microsoft Office and service management software.
- Valid driver's license with an acceptable driving record.
Preferred Qualifications
- Boiler manufacturer training and certifications.
- Experience servicing multiple boiler manufacturers.
- Experience with combustion analyzers and burner tuning.
- OSHA 10-Hour Certification.
- Confined Space, Lockout/Tagout, Arc Flash, and First Aid/CPR certifications.
- Experience in industrial, healthcare, manufacturing, food processing, or institutional facilities.
Physical Requirements
- Ability to lift up to 75 pounds.
- Ability to climb ladders and stairs.
- Ability to work in mechanical rooms, rooftops, confined spaces, and industrial environments.
- Ability to stand, bend, kneel, crawl, and work in varying weather conditions.
- Ability to respond to emergency service calls outside normal business hours when required.
