Full Job Description

Department: Service / Reconditioning Operations

Reports To: Service & Reconditioning Manager

Employment Type: Full-Time

Position Summary

We are seeking a highly organized and detail-oriented Parts Purchasing, Procurement & Inventory Specialist to support our automotive reconditioning and service operations. This role is responsible for sourcing and purchasing automotive parts, managing vendor relationships, maintaining inventory accuracy, and ensuring technicians receive the correct parts quickly to support efficient shop production.

The ideal candidate thrives in a fast-paced automotive environment, understands automotive mechanical and reconditioning workflows, and can balance cost control, urgency, and quality while minimizing downtime for technicians and vehicles.

Key Responsibilities

Parts Purchasing & Procurement

Source and purchase automotive parts, tires, fluids, and shop supplies for reconditioning and service operations
Identify cost-effective purchasing solutions while maintaining quality and turnaround expectations
Negotiate pricing, credits, and warranty claims with vendors when applicable
Track and follow up on all ordered parts to ensure timely delivery
Coordinate special-order and hard-to-find parts procurement
Maintain strong working relationships with OEM, aftermarket, and local vendors

Inventory Management

Maintain accurate inventory counts and organization within the parts department and storage areas
Monitor inventory levels and reorder high-use items proactively to prevent workflow interruptions
Perform routine inventory audits and reconcile discrepancies
Track cores, returns, warranty items, and defective parts
Ensure all received parts are properly checked in, labeled, and staged for technicians

Operational Support

Work closely with technicians, advisors, and management to prioritize parts needs based on production flow
Ensure technicians receive the correct parts in a timely manner to support efficiency goals
Research VIN-specific parts applications and verify fitment accuracy

Qualifications

Minimum 5 years of automotive parts purchasing, procurement, or parts sales experience required within an automotive dealership, parts store, repair shop, or vehicle reconditioning center
Strong understanding of automotive mechanical components, vehicle systems, and parts application/fitment
Experience sourcing OEM and aftermarket automotive parts in a high-volume environment
Ability to multitask and manage competing priorities in a fast-paced environment
Strong communication, negotiation, and vendor relationship management skills
Experience with inventory management systems, dealership software, or shop management systems preferred
Proficient with computers, email, spreadsheets, and inventory software
Valid driver’s license with acceptable driving record

Preferred Experience

Experience managing inventory controls, cycle counts, and procurement processes
Experience reducing parts costs while maintaining production efficiency and turnaround times

Physical Requirements

Ability to lift and move parts and materials up to 50 pounds
Ability to stand, walk, bend, and move throughout the shop environment for extended periods
Comfortable working in a warehouse and automotive shop setting
