Vice President of Operations

Location: Irving, TX
Reports To: Chief Executive Officer
Department: Operations

Position Summary

The Vice President of Operations is responsible for leading the operational performance of the organization while ensuring exceptional service delivery to both healthcare providers and clients. This role oversees Recruiting, Client Services, and Support while partnering closely with Finance. The VP of Operations will be evaluated on gross margin, retention, and team growth.

The ideal candidate is a strategic leader who is equally comfortable developing long-term operational strategy and rolling up their sleeves to solve day-to-day challenges. In a small, entrepreneurial organization, the VP of Operations must thrive in a fast-paced environment, embrace accountability, and continuously improve processes that drive revenue growth, customer satisfaction, and operational efficiency.

Key Responsibilities

Operational Leadership

Direct the daily operations of the company to ensure efficiency and profitability.
Develop operational strategies that support company growth.
Build scalable processes that improve productivity and reduce administrative burden.
Establish and monitor operational KPIs.
Lead continuous improvement initiatives throughout the organization.

Recruiting Operations

Improve recruiter productivity and efficiency.
Monitor recruiter performance metrics.
Optimize recruiting workflows.
Ensure high-quality candidate experience.
Improve placement ratios and speed to fill.

Client Operations

Ensure exceptional client service.
Improve response times and communication.
Develop service standards.
Resolve escalated client concerns.
Maintain strong client retention.

Financial Performance

Improve gross margin.
Increase productivity per employee.

Process Improvement

Implement automation where appropriate.
Improve CRM utilization.
Improve ATS/VMS workflows.
Reduce manual processes.
Increase operational scalability.

Team Leadership

Recruit, coach, and develop staff.
Conduct weekly one on one meetings
Create accountability through measurable goals.
Foster a culture of teamwork, urgency, and continuous improvement.
Lead company initiatives that strengthen culture and employee engagement.

Technology & Systems

Oversee utilization and optimization of:

ATS/CRM
VMS platforms
Reporting dashboards
Workflow automation tools
AI solutions that improve efficiency

Qualifications

Required

Bachelor's degree in Business, Healthcare Administration, or related field.
8+ years of operations leadership experience.
5+ years managing multiple departments.
Experience leading teams in a service-based organization.
Strong financial and analytical skills.
Exceptional communication and leadership abilities.
Locum tenens staffing experience.
Healthcare staffing experience.
VMS/MSP experience.
Knowledge of physician credentialing and licensing.
Experience with CRM/ATS platforms
Lean or Six Sigma experience is a plus.
