Summary: The Human Resources Coordinator supports the daily operations of the Human Resources department by maintaining accurate employee records, coordinating key human resources processes, and providing administrative support across recruitment, onboarding, benefits administration, and compliance activities. This role helps ensure human resources operations run efficiently while contributing to a positive and well-supported employee experience. In addition to human resources responsibilities, the Human Resources Coordinator assists with the organization's day-to-day administrative needs, including coordinating internal communications, managing office supplies, and processing incoming and outgoing mail.

Essential Duties and Responsibilities: include the following. Other duties may be assigned.

· Human Resources Administration and Employee Records
o Maintain employee records (digital and physical), ensuring accuracy, confidentiality, and compliance with company policies and legal requirements.
o Administer human resources processes, such as handbook and policy acknowledgements.
o Respond promptly to employee questions regarding human resources policies, procedures, payroll, and programs.
o Prepare confidential correspondence, communications, and mailings regarding employee issues and benefits.
o Ensure compliance with labor laws, company policies, and data privacy standards.
· Recruitment, Staffing and Onboarding
o Support recruitment activities, including posting jobs, screening resumes, scheduling interviews, and communicating with staffing agencies and candidates.
o Primary point of contact for staffing agencies.
o Ensure all required testing and DEF expectations are met.
o Coordinate Day 1 training class logistics, including preparing documentation, conducting orientation tasks, coordinating contractor photos, and ensuring a smooth onboarding experience.
o Monitor contract staff timecards for accuracy and approve submissions for staffing agencies.
o Conduct check-ins with contractors and employees to review performance, address concerns, and support successful transition opportunities.
· Leave Administration and Employee Support
o Generate leave administration documents, including FMLA and accommodation requests, and coordinate new requests and recertifications as needed.
o Manage and update FMLA absence enrollments and balance totals weekly.
o Send notification letters when employee FMLA balances are low.
· Benefits and Separation Administration
o Prepare COBRA, 403(b) rollover, Group Life Conversion, and unemployment paperwork for terminated employees in a timely manner.
· Employee Engagement and Culture
o Participate in employee event planning, as needed.
o Create and post employee engagement content in company chat platforms to encourage participation, communication, and team morale.
· Performance Management and HR Projects
o Participate in the performance appraisal process for non-exempt operations staff, as needed.
o Support human resources projects, including engagement initiatives, policy updates, and system implementations.
· Office Administration and Facilities Coordination
o Purchase office supplies as needed and maintain adequate inventory levels.
o Sort and distribute incoming mail and retrieve mail from the post office box daily.
o Contact vendors regarding service requests and delivery needs.
o Order and approve printing proofs for envelopes, letterhead, specialty paper, and other materials.
o Schedule meeting rooms and catering, as required.
o Communicate with the building management company, as directed.
o Monitor office equipment functionality and arrange maintenance services.
o Replenish essential office and facility products, including soap and paper supplies.

Qualifications: The successful candidate will have:
· Demonstrated ability to maintain strict confidentiality when handling sensitive employee information, human resources records, organizational data, and operational matters.
· Working knowledge of human resources principles and practices, including employment documentation, administration, and applicable employment laws and regulations.
· Strong problem-solving, organizational, and time management skills with exceptional attention to detail, a customer-service orientation, and the ability to manage multiple priorities effectively.
· Excellent written and verbal communication skills, with the ability to build positive working relationships and interact professionally with employees at all levels, vendors, and members of the Board of Directors.
· Professional, approachable, and service-oriented demeanor with a high degree of integrity, credibility, discretion, and commitment to organizational success.
· Ability to work effectively in a fast-paced environment, manage competing deadlines, while remain composed and productive under pressure.
· Proficiency in Microsoft Office and collaboration tools, including Word, PowerPoint, Outlook, Excel, and SharePoint.
Work Experience and Education Requirements
· One year of human resources experience
· Bachelor’s degree, and/or SHRM Certification, preferred
· Experience with recruiting
· Familiarity with legal compliance requirements (FMLA, ADA, EEO, etc.)
· Paycom experience, preferred
Work Environment
· The work environment is an office setting with temperate climate control.
· When work is performed in DEF’s office, the workstation is in an office environment.
· The work is sedentary in nature but may require occasional mobilizing within the work setting.
· Initially the work will be performed on-site.
· May be required to attend on-site meetings, trainings, and events in the DEF office or at other venues, as necessary.
