Job Summary
We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management tasks to ensure smooth daily functions. Your positive attitude and organizational skills will help create a professional and inviting environment for clients, visitors, and team members alike. Responsibilities

Greet visitors and clients promptly, professionally, and with a warm demeanor, ensuring they feel valued from the moment they arrive
Answer multi-line phone systems efficiently, directing calls accurately and providing excellent customer support
Manage appointment scheduling and calendar coordination using office management tools such as Google Workspace or Microsoft Office
Handle data entry, filing, and document proofreading to maintain accurate records and ensure information is up-to-date
Support office operations by managing incoming and outgoing correspondence, including emails and mail distribution
Maintain cleanliness and organization of the front desk area, ensuring supplies are stocked and equipment is functioning properly
Assist with clerical tasks such as typing reports, managing office supplies inventory, and supporting administrative projects as needed

Skills

Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional phone etiquette and customer service skills to handle inquiries courteously and professionally
Experience with office management systems like QuickBooks or similar bookkeeping software is a plus
Bilingual abilities are highly desirable to serve diverse client needs effectively
Previous office or clerical experience demonstrating attention to detail, proofreading skills, and data entry accuracy
Knowledge of multi-line phone systems, filing procedures, calendar management, and general administrative support techniques
Ability to prioritize tasks efficiently using strong time management skills while maintaining professionalism at all times
