Senior Import Coordinator
Position Overview
We are seeking an experienced and detail-oriented Senior Import Coordinator to manage and oversee daily import operations. This role is ideal for candidates with solid hands-on experience in import shipment coordination, customs-related processes, cargo release, CFS handling, and final delivery arrangement.
As a Senior Import Coordinator, you will be responsible for monitoring import shipments from pre-arrival through final delivery, ensuring smooth execution, accurate documentation, timely communication, and effective problem-solving throughout the process. The ideal candidate is proactive, organized, and capable of independently handling complex import cases in a fast-paced freight forwarding environment.
Key Responsibilities
1. Import Shipment Management
- Coordinate and manage import shipments from origin through arrival, cargo release, and final delivery
- Communicate with customers, overseas agents, carriers, customs brokers, truckers, and warehouses to ensure smooth execution
- Monitor shipment milestones and provide timely updates to customers and internal teams
- Independently manage multiple import files while maintaining accuracy and service quality
2. Documentation & Customs Coordination
- Review import documents for accuracy and completeness, including commercial invoices, packing lists, bills of lading, arrival notices, and related shipping documents
- Coordinate with customs brokers and internal teams to support timely customs clearance and cargo release
- Follow up on document discrepancies, missing information, customs holds, exams, and other clearance-related issues
- Support and oversee ISF, arrival notices, release processing, and related import compliance procedures as needed
3. CFS, Warehouse & Delivery Coordination
- Coordinate CFS shipments and related warehouse activities, including cargo availability, devanning, transloading, and final delivery arrangements
- Work closely with warehouse and trucking teams to ensure efficient cargo handling and appointment scheduling
- Follow up on PODs, delivery status, and customer-specific requirements
- Candidates with CFS experience are strongly preferred
4. Exception Handling & Problem Resolution
- Identify and resolve operational issues such as delays, storage, demurrage, detention, exams, delivery failures, and documentation discrepancies
- Communicate proactively with customers and internal teams regarding shipment exceptions and revised action plans
- Escalate urgent issues when necessary and drive timely resolution with both internal and external partners
- Support process improvement by identifying recurring issues and recommending practical solutions
5. Billing & File Management
- Review AR/AP charges related to import files and ensure billing accuracy
- Verify operational records, vendor costs, and customer charges before file closure
- Maintain complete and accurate shipment records in internal systems
- Support profitability awareness by understanding shipment cost structure and execution efficiency
Qualifications
- Minimum 2–5 years of experience in import operations, freight forwarding, or international logistics
- Strong understanding of import shipment flow, cargo release, customs coordination, and final delivery processes
- Experience handling FCL / LCL import shipments preferred
- CFS experience is highly preferred
- Familiarity with ISF, arrival notices, exams, demurrage/detention, and post-arrival coordination is a strong plus
- Strong organizational skills and ability to manage multiple shipments simultaneously
- Effective communication and problem-solving skills in a fast-paced environment
- Ability to work independently with minimal supervision
Compensation & Benefits
Hourly Rate: USD 21–27, based on experience and qualifications
