Full Job Description

The Position
Our company is seeking an organized and dependable Office Manager to oversee daily office operations. As this is a small team, the Office Manager's responsibilities include tasks that are accounting and HR-based, as well as the primary administrative and supervisory duties. The Office Manager reports to the business owners for day-to-day operations, with accounting oversight from the company's accounting team. The role splits time roughly evenly between customer-facing and back-office duties, and oversees a team of 2–3 direct reports.

Responsibilities

Office Oversight & Supervision

Maintains physical and digital record-keeping systems.
Keeps the office well-maintained and organized.
Ensures policies and procedures are followed consistently, providing guidance to staff as needed.
Oversees the administrative aspects of the towing and repair shop (separate from technical or operational supervision of drivers and mechanics).
Creates and manages schedules for office staff, repair staff, and drivers. Familiarity with on-call or 24/7 scheduling is a plus.
Answers and directs phone calls as needed (e.g., covers dispatch and the repair shop during staff breaks or high-volume periods).

Human Resources

Assists with onboarding new employees, including preparation of new-hire paperwork and coordination with the payroll processor.
Reviews and approves employee timesheets for payroll accuracy and timeliness.
Maintains personnel files and tracks employee certifications to ensure required documentation is on file.
Works with others to create, update, and implement policies and procedures as needed.

Accounting

Balances daily cash, credit card, and check receipts.
Prepares and completes daily bank deposits.
Organizes company bills and sends them to the accounting team.
Creates customer invoices for towing and repair services.
Works with the company's bookkeeper and accountant, providing requested financial documentation and assisting with monthly and year-end accounting processes.

Financial Controls

Reconciles daily sales with payment processing systems.
Works with the accounting team to verify and investigate transactions as needed.
Maintains accurate records of invoices and payments.
Monitors staff compliance with financial procedures.

Qualifications

Previous experience in administrative or office management required.
Experience in bookkeeping, payroll, or accounting preferred.
Strong organizational and time management skills.
Strong communication and customer service skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Experience with QuickBooks preferred.
Experience with Mitchell, TowBooks, or Clover is a plus but not required.
