Overview

Join our dynamic auto body shop team as an Office Administrator Assistant, where your organizational expertise and proactive approach will keep our operations running smoothly and efficiently. In this vital role, you will manage daily administrative tasks, coordinate with vendors, oversee scheduling, and support our team to deliver exceptional customer service. Your energetic and detail-oriented mindset will help foster a positive work environment while ensuring all office functions are handled with precision and professionalism.

Responsibilities

Manage the front desk operations, including multi-line phone systems, greeting clients, and handling customer inquiries with professionalism and courtesy.
Oversee schedule management for appointments, staff shifts, and project deadlines to optimize workflow and productivity.
Coordinate vendor management activities, including ordering supplies, processing invoices, and maintaining supplier relationships to ensure timely delivery of materials.
Handle bookkeeping and accounting tasks using accounting software , including invoicing, expense tracking, and financial record keeping.
Maintain organized filing systems for client records, service histories, and office documentation to ensure easy retrieval and compliance with confidentiality standards.
Assist in budgeting activities by monitoring expenses, preparing financial reports, and supporting office management initiatives to improve operational efficiency.

Skills

Proven experience in office administration within an auto body shop or similar environment with strong clerical skills.
Excellent communication skills for client interaction, team collaboration, and vendor negotiations.
Strong organizational skills with the ability to manage multiple priorities simultaneously while maintaining attention to detail.
Experience in supervising or team management roles that involve training staff or overseeing daily operations.
Ability to handle confidential information discreetly while demonstrating professionalism at all times.
