Full Job Description

Administrative Assistant / Office Manager

Lance Cotner Electric, LLC

Lance Cotner Electric is looking for a highly organized, resourceful Administrative Assistant to help keep our growing electrical contracting business running smoothly. This is much more than an administrative role. We're looking for someone who takes ownership, solves problems before they become problems, and genuinely enjoys making a business owner's life easier so he can stay focused on estimating jobs, managing projects, and growing the business.

If you're the type of person who notices what's falling through the cracks, enjoys creating efficient systems, and takes pride in keeping things organized, we'd love to talk with you.

Responsibilities

Process weekly payroll accurately and on time
Prepare and submit AIA billing and pay applications
Track invoices and follow up with general contractors to ensure payments are processed
Maintain accounts receivable records and monitor outstanding balances
Answer phones and respond to emails professionally
Prepare proposals, contracts, and other business documents using Microsoft Office
Organize electronic and paper files
Order office supplies and coordinate vendors as needed
Assist with scheduling, calendars, and project documentation
Maintain licensing, insurance certificates, and other compliance documents
Support project managers and field staff with administrative needs
Identify opportunities to improve office processes and implement better systems
Handle miscellaneous administrative tasks that help keep the business operating efficiently

Qualifications

Previous administrative or office management experience (construction or electrical industry experience is a plus)
Experience processing payroll
Experience with AIA billing/pay applications preferred
Proficiency with Microsoft Office (Excel, Word, Outlook)
Strong organizational and time management skills
Excellent communication and customer service skills
Ability to prioritize multiple projects and meet deadlines
High attention to detail and accuracy
Self-motivated with the ability to work independently
Reliable, trustworthy, and professional
