Job Overview
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and clients, and ensure smooth administrative flow throughout the office. Your energetic approach and exceptional organizational skills will help create a positive environment that reflects our commitment to excellent customer service and efficient office management. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant team.

Responsibilities

Greet visitors warmly, assist with check-in procedures, and direct them appropriately
Answer multi-line phone systems promptly and professionally, providing accurate information or routing calls as needed
Manage appointment scheduling, calendar coordination, and meeting arrangements using Microsoft Office and Google Workspace tools
Handle data entry, filing, and document proofreading to ensure accuracy and organization of office records
Support office management tasks such as supply inventory, mail distribution, and basic bookkeeping using QuickBooks or similar software
Provide exceptional customer support by addressing inquiries via phone or in person with courteous professionalism
Maintain a tidy reception area, ensure proper filing systems are in place, and assist with clerical tasks to support daily operations

Experience

Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience managing multi-line phone systems and practicing professional phone etiquette
Bilingual abilities are highly desirable to serve diverse client needs effectively
Familiarity with office management routines such as data entry, filing, proofreading, and calendar management
Experience in customer service roles that require excellent interpersonal skills and a positive attitude
Knowledge of medical or dental receptionist duties or personal assistant experience is a plus but not required
