Overview

We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports overall office productivity. The ideal candidate will be proactive, detail-oriented, and possess excellent organizational and communication skills to foster a welcoming and professional atmosphere for staff, clients, and visitors alike.

Duties

Oversee daily office operations, including managing supplies, equipment, and facilities to ensure a well-functioning workspace
Serve as the primary point of contact for incoming calls via multi-line phone systems, providing exceptional customer service and professional phone etiquette
Manage calendar scheduling, appointments, and meeting arrangements using productivity software and calendar management tools
Handle data entry tasks with accuracy using spreadsheets and word processing software to maintain organized records
Coordinate front desk activities such as greeting visitors, answering inquiries, and directing them appropriately
Support administrative functions including filing, document preparation, and maintaining confidential records
Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices

Requirements

Proven experience in office management or administrative roles with a strong background in clerical tasks and customer support
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with excellent computer literacy skills
Familiarity with AI (Claude Grok Chat GPT) or comparable accounting software for financial record-keeping
Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
Excellent communication skills, both verbal and written; bilingual abilities are a plus for diverse environments
Experience operating multi-line phone systems and demonstrating professional phone etiquette
Demonstrated ability to handle data entry accurately while maintaining attention to detail
Prior experience in front desk responsibilities or personal assistant roles is advantageous
Ability to adapt quickly to changing priorities and work independently with minimal supervision
