Jackson Hole Sotheby’s International Realty is seeking an exceptional Office Manager & Listing Coordinator at our main office in Jackson Hole.
As a leader in luxury real estate, we are committed to delivering an elevated experience for our clients and agents. That experience begins behind the scenes with a team that is organized, proactive, collaborative, and committed to excellence.
Our company operates with an agent-driven mindset, meaning we prioritize the needs of our agents and support them with the tools, service, responsiveness, and thoughtful execution they need to serve their clients at the highest level.
This is a dynamic role that blends office operations, administrative support, listing and marketing coordination into one highly impactful position. No two days are the same. Success in this role requires someone who can balance planned projects with the immediate needs of the business, respond thoughtfully as priorities shift, and take pride in helping others succeed.
The ideal candidate is a motivated self-starter who enjoys variety, takes ownership of their work, and brings both strong organizational skills and a flexible, service-minded approach. They are comfortable managing multiple priorities, communicating professionally, and making thoughtful decisions about what needs attention first.
This position works closely with the Marketing department while serving as a resource for agents, clients, vendors, and the office as a whole. It requires someone who can transition seamlessly between creative projects, operational responsibilities, administrative support, and customer service while maintaining exceptional attention to detail and representing the company with professionalism. This role is based in our main branch and may occasionally include support for nearby office locations, including checking on our other office down the road or visiting smaller floor-desk offices in Teton Village as needed.
Key Responsibilities
Office Operations & Administrative Support
- Serve as a primary point of contact for agents, clients, vendors, and visitors, creating a welcoming and professional office environment.
- Perform daily opening and closing procedures and maintain office presentation standards.
- Support day-to-day office operations to ensure the branch runs smoothly and efficiently.
- Provide occasional operational support for nearby office locations, including office check-ins, supply needs, and coordination for smaller floor-desk spaces in Teton Village.
- Provide administrative support for brokerage initiatives, meetings, events, and special projects.
- Assist agents with basic technology questions and coordinate with technical support when needed.
- Help maintain office supplies, shared spaces, and general organizational systems.
- Communicate professionally and promptly with agents, colleagues, vendors, and clients.
Listing Coordination
- Coordinate listing launches to ensure properties are introduced to the market with accuracy, quality, and attention to detail.
- Assist agents with basic marketing requests while maintaining Sotheby’s International Realty brand standards.
- Approach agent marketing support with responsiveness, care, and an understanding that our agents are serving clients in a highly competitive luxury market.
- Create or coordinate marketing materials including brochures, flyers, social media assets, presentations, and print collateral using approved design platforms.
- Assist with office events, agent recognition programs, brokerage communications, and promotional efforts.
What Makes Someone Successful in This Role
The right candidate will:
- Thrive in a role where every day is different.
- Balance recurring responsibilities with unexpected support requests.
- Understand and embrace an agent-driven culture, where supporting agent success is central to the success of the brokerage.
- Be highly organized while remaining flexible and adaptable.
- Take initiative rather than waiting to be directed.
- Be solutions-oriented, resourceful, and calm under pressure.
- Communicate clearly and professionally with agents, clients, vendors, and colleagues.
- Maintain composure in a service-oriented environment.
- Take pride in creating an exceptional experience for everyone who interacts with our brokerage.
Qualifications
- Previous experience in office management, administration, marketing coordination, real estate support, hospitality, or a related field preferred.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- High attention to detail and commitment to accuracy.
- Ability to manage multiple projects simultaneously while adapting to changing priorities.
- Proficiency with Microsoft Office, Canva, Adobe Creative Suite or similar design software, and general office technology.
- Experience in real estate is a plus but not required.
- Professional, polished, and approachable demeanor.
- Valid driver’s license and reliable transportation for occasional visits to nearby office locations.
Why Join Our Team?
You’ll be part of a collaborative, agent-driven team that values professionalism, innovation, service, and excellence. This role offers the opportunity to make a meaningful impact across both operations and marketing while helping agents deliver an elevated experience to their clients.
This is not a role where every day follows a predictable schedule. While there are recurring responsibilities and planned projects, much of the day involves responding to agent needs, shifting priorities, and ensuring time-sensitive tasks are completed. The ideal candidate enjoys variety, is confident making decisions about priorities, and can pivot quickly without becoming overwhelmed.
If you enjoy wearing many hats, solving problems, supporting a high-performing team, and contributing to an elevated client and agent experience, we’d love to hear from you.
