Full Job Description

Leapros Skilled Trades is actively hiring Office Manager in Jacksonville, FL. The Office Manager oversees the daily administrative, financial, and operational functions of a growing electrical contracting company in Jacksonville. The ideal candidate brings extensive experience in construction accounting, contract administration, and payroll management within a fast-paced environment. This role is pivotal in supporting company leadership and ensuring business efficiency through diligent financial tracking and office operations.

Job Type: Permanent

Annual Salary: $75,000 to $90,000 Annually BOE

Responsibilities:

Monitor daily cash flow and bank balances while performing monthly reconciliations for bank accounts, loans, and credit cards.
Process weekly payroll, manage 401(k) contributions, and coordinate annual W-2 distribution and compliance testing.
Prepare and submit monthly AIA billing applications, lien waivers, and maintain Schedule of Values (SOV) documentation.
Serve as the primary administrative contact for large customer contracts, reviewing documentation and legal requirements.
Coordinate employee benefits administration, health insurance plans, and maintain confidential personnel records.
Manage daily office operations, including IT vendor coordination, supply procurement, and troubleshooting office equipment.
Coordinate company vehicle registrations and maintain contractor licenses and professional certifications.
Provide executive support to company ownership, including scheduling, preparing reports, and documenting action items from management meetings.

Qualifications:

5+ years of office management experience, specifically within the electrical, mechanical, or general construction industries.
Proven experience with construction accounting, AIA billing, lien releases, and job costing.
Strong knowledge of bookkeeping principles, financial reporting, and state/federal payroll tax filings.
Proficiency in Microsoft Office Suite, with advanced skills in Excel.
Experience with construction accounting software such as QuickBooks, Foundation, Sage, Vista, or Spectrum.
Demonstrated ability to manage confidential information with a high degree of professionalism.
Excellent organizational and problem-solving skills with a proactive approach to supporting leadership.

Physical Requirements:

Regularly required to sit, stand, talk, and hear.
Use hands and fingers to operate a computer, telephone, and keyboard for prolonged periods.
Specific vision abilities required for extensive computer work and financial documentation review.
May need to lift up to 25 pounds on occasion for office supplies or file management.

Pay Transparency:
The anticipated annual salary range for this position is $75,000 to $90,000 annually, based on relevant factors such as experience, skills, education, internal equity, and geographic location. Final compensation will be determined during the interview process by the hiring authority.
