Full Job Description

We are seeking a friendly, organized, and professional Medical Office Receptionist to be the first point of contact for our patients. The ideal candidate will manage front desk operations, including greeting patients, scheduling appointments, answering phone calls, and ensuring a smooth flow of the office. This role requires strong communication skills, attention to detail, and a customer-service-oriented approach to create a welcoming and efficient environment for both patients and staff.

Key Responsibilities

Patient Reception and Comfort: Greet patients warmly, acknowledging the sensitive nature of their visit. Ensure the waiting area is calm and welcoming to support a stress-free environment.

Appointment Scheduling and Management: Handle scheduling with attention to detail, considering the time-sensitive nature of psychiatric appointments. This includes managing follow-up visits and coordinating with providers for any schedule changes.

Patient Registration and Documentation: Collect and accurately update patient information, including mental health history and consent forms. Ensure all intake forms are completed thoroughly and confidentially.

Communication: Manage incoming calls and emails with empathy and discretion. Provide information about services, handle appointment inquiries, and triage urgent calls to the appropriate clinical staff.

Billing and Insurance Coordination: Process billing and assist patients with understanding their insurance coverage for psychiatric services. Handle co-pays and coordinate with insurance companies for claims processing.

Confidential Record Management: Maintain strict confidentiality and security of patient records, adhering to HIPAA regulations. Ensure all documentation is stored securely and accessible to authorized personnel only.

Coordination with Clinical Staff: Communicate effectively with psychiatrists, therapists, and other clinical staff to ensure patient care is seamless. Notify clinicians of patient arrivals and convey any relevant information or updates.

Technology and EHR Use: Utilize electronic health records (EHR) and practice management software to manage patient information efficiently. Ensure all data entered is accurate and up to date.

Patient Support and Resources: Provide patients with educational materials and resources related to mental health services. Assist in connecting patients with additional support services if needed.

Crisis Management: Be prepared to handle situations where a patient may be in distress or experiencing a crisis, ensuring they are directed to appropriate care quickly and safely.

Overall: Performing duties with precision to support psychiatry office support for both patients’ needs and the critical team’s workflow, contributing to an efficient healthcare environment.

Qualifications:

High school diploma or equivalent required; additional certification or training in medical office administration preferred.
A minimum of 1 year office experience in a medical office setting is highly desirable.
Excellent communication and customer service skills.
Proficient in Microsoft Office Suite and medical office software (e.g., EHR/EMR systems).
Ability to manage multiple tasks efficiently and prioritize in a fast-paced environment.
Attention to detail and organizational skills.
Strong problem-solving abilities and professionalism.

Work Environment:

Office environment with interaction with patients, staff, and visitors.
Regular sitting, standing, and computer work.
Occasional lifting of office supplies or patient documents.
