Part-Time Office Assistant

North Florida Chapter, NECA (Jacksonville, FL)

Position Summary

The North Florida Chapter of NECA is seeking a Part-Time Office Assistant to support daily operations, member services, and training activities. This role is critical to maintaining an organized, responsive, and professional office environment.

This is a hands-on position within a small team where flexibility, initiative, and a willingness to “wear many hats” are essential. The ideal candidate is self-motivated, detail-oriented, and comfortable working both independently and collaboratively.

This position offers the opportunity for growth into a full-time role and potential advancement into office management.

About NECA

The National Electrical Contractors Association (NECA) is a national trade association representing electrical contractors who build and power the infrastructure we rely on every day—from schools and hospitals to data centers and emerging technologies.

The North Florida Chapter offers a unique opportunity to gain real-world experience in a professional office environment while working closely with industry leaders. As part of a small team, you’ll be exposed to a wide range of responsibilities—including operations, events, communications, and member services—providing a strong foundation for career growth.

This role is ideal for someone early in their career who is looking to build skills, take on increasing responsibility, and grow into a long-term position within a respected organization.

Key Responsibilities

Administrative & Office Support

Answer and direct incoming phone calls in a professional manner
Respond to general inquiries and assist members as needed
Print, scan, and organize documents and reports
Maintain organized filing systems (physical and digital)
Perform data entry and basic recordkeeping

Executive & Operational Support

Provide administrative support to the Executive Director on various tasks and projects
Assist with preparation of meeting materials, agendas, and board packets
Support chapter communications, mailings, and follow-up tasks

Meetings, Events & Training Support

Assist with setup and breakdown of classrooms for training sessions and meetings
Coordinate food orders and refreshments for classes and events
Ensure meeting spaces are organized, stocked, and ready for use
Provide on-site support during trainings and events

Member Services & Fulfillment

Assist with member requests and provide excellent customer service
Help process registrations, orders, and distribution of materials
Support fulfillment of certificates, training materials, and chapter resources

General Office Responsibilities

Maintain office and training areas in a clean and organized condition
Monitor and order office and classroom supplies
Perform additional duties as assigned to support overall chapter operations

Qualifications

High school diploma required; administrative or office experience preferred
Strong organizational and time management skills
Professional communication skills (phone, email, and in-person)
Proficiency in Microsoft Office and Google Workspace (Docs, Sheets, Drive, Gmail)
Ability to manage multiple tasks and adapt to changing priorities
Self-motivated, proactive, and able to work independently
Team-oriented with a positive, service-focused attitude
Strong attention to detail and reliability

Schedule & Compensation

Part-time: 21–24 hours per week
Location: In-office (Jacksonville, FL) – this is not a remote position
Compensation: $18–$21 per hour, depending on experience

Physical Requirements

Ability to lift and move materials (up to ~25 lbs) for meeting and classroom setup
Ability to stand and move during event setup and coordination

Growth Opportunity

This role is designed with long-term growth in mind. The selected candidate will have the opportunity to expand responsibilities over time, with a potential pathway into a full-time position and advancement into office management.

Pay: $18.00 - $21.00 per hour
