Position Overview

Jimenez Law Firm is seeking an experienced and highly capable Senior Bookkeeper / Administrative Assistant to take primary responsibility for the firm’s day-to-day bookkeeping, accounting records, reconciliations, payroll coordination, and financial reporting while also providing administrative and office-management support.

This is not an entry-level bookkeeping position. The successful candidate must possess a thorough working knowledge of bookkeeping and accounting principles and be able to manage the firm’s accounting functions independently, accurately, and with minimal supervision.

The ideal candidate will have prior experience working in a personal injury law firm or other legal environment and will understand law firm trust accounting, client ledgers, settlement-related transactions, and the strict separation of operating and trust funds.

This position reports directly to the Supervising Attorney and requires exceptional discretion, sound judgment, attention to detail, and ownership of assigned responsibilities.

Primary Accounting Responsibilities

Maintain complete and accurate financial records in QuickBooks.

Record, classify, and review all financial transactions using appropriate accounts and journal entries.

Manage the general ledger and ensure transactions are accurately posted and supported by appropriate documentation.

Perform timely monthly reconciliations of all operating, trust, credit card, and other financial accounts.

Maintain trust-account records and individual client ledgers in compliance with applicable legal and professional requirements.

Conduct three-way trust-account reconciliations and promptly identify and resolve discrepancies.

Maintain strict separation between client trust funds and firm operating funds.

Assist with the accounting and documentation of personal injury settlements, including deposits, disbursements, client funds, costs, and payments to third parties.

Manage accounts payable and accounts receivable.

Process or coordinate payroll accurately and timely.

Prepare and interpret monthly financial statements, including balance sheets, profit-and-loss statements, cash-flow reports, and other management reports.

Identify irregularities, incomplete records, accounting errors, and negative financial trends and bring them promptly to the Supervising Attorney’s attention.

Assist with budgeting, cash-flow monitoring, year-end closing, and preparation of records for the firm’s accountant or tax professional.

Develop and maintain reliable bookkeeping procedures and internal financial controls.

Preserve organized supporting documentation and maintain audit-ready financial records.

Handle confidential financial, employee, client, and business information with absolute discretion.

Administrative Responsibilities

Support the Supervising Attorney with general office administration and special projects.

Help maintain efficient daily office operations and organized administrative workflows.

Establish and maintain orderly digital and physical filing systems.

Maintain office-supply inventories and coordinate ordering, distribution, and payment.

Communicate and coordinate with the firm’s outside IT professionals and other vendors.

Provide professional clerical and administrative support as needed.

Assist with meeting preparation and occasional hospitality-related tasks.

Identify administrative inefficiencies and recommend practical improvements.

Required Qualifications

Substantial hands-on bookkeeping experience, including responsibility for a complete bookkeeping cycle.

Advanced proficiency in QuickBooks and the ability to work independently within the accounting system.

Thorough working knowledge of Generally Accepted Accounting Principles (GAAP) and their practical application.

Demonstrated experience with general-ledger accounting, journal entries, bank reconciliations, accounts payable, accounts receivable, payroll, and month-end closing.

Ability to independently prepare, review, and interpret financial statements.

Strong proficiency in Microsoft Excel, Word, Outlook, Microsoft 365, and Adobe Acrobat Pro.

Exceptional accuracy, organization, follow-through, and attention to detail.

Ability to recognize discrepancies, investigate their causes, and implement appropriate corrections.

Strong written and verbal communication skills in English.

Ability to prioritize competing responsibilities and meet deadlines in a fast-paced professional environment.

Ability to work independently, exercise mature judgment, and take ownership of results.

Consistently professional demeanor, appearance, and communication style.

Demonstrated reliability, integrity, and discretion.

Strongly Preferred Qualifications

Prior bookkeeping or accounting experience within a personal injury law firm.

Experience with law firm trust accounting, client ledgers, and three-way trust reconciliations.

Experience accounting for personal injury settlements and related disbursements.

Experience working with law firm case-management or accounting software.

Professional bookkeeping or accounting training or certification, such as Certified Bookkeeper, QuickBooks ProAdvisor, or a comparable credential.

Five or more years of progressively responsible bookkeeping or accounting experience.

Experience improving accounting procedures, controls, and reporting systems.

A bachelor’s degree is not required. Demonstrated knowledge, relevant training, professional certifications, and a strong record of successfully managing bookkeeping responsibilities are more important to us than a particular degree.

The Successful Candidate

The right person for this position is a seasoned professional who does not require constant instruction or supervision. You should be comfortable taking responsibility for the accuracy and completeness of the firm’s books, meeting recurring deadlines, investigating discrepancies, and communicating meaningful financial information to firm leadership.

Candidates whose experience is limited to basic data entry, invoice processing, or clerical bookkeeping are unlikely to be a fit for this position.

Full-time, permanent position

Monday through Friday

Standard working hours: 8:00 a.m. to 5:00 p.m.

On-site position in Jacksonville, Florida

No regular travel required

Compensation

Compensation is commensurate with the candidate’s experience, demonstrated accounting capabilities, law firm background, and relevant professional certifications.
