Overview

We are seeking a dynamic and detail-oriented Financial Administrative Assistant to join our team. In this vital role, you will serve as the backbone of our financial and administrative operations, ensuring smooth daily functions and supporting our commitment to excellence. Responsibilities

Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and warmth
Handle data entry tasks accurately, including bookkeeping entries using QuickBooks and maintaining financial records with precision
Support office management duties such as filing, organizing documents, and maintaining confidential information securely
Assist with calendar management, scheduling appointments, meetings, and coordinating client communications effectively
Provide exceptional customer service through clear phone etiquette, prompt responses, and professional client communication
Perform clerical tasks including proofreading documents, preparing reports, and managing office supplies to ensure a well-organized workspace
Support personal assistant responsibilities by managing schedules, coordinating travel arrangements, and handling time-sensitive requests

Experience

Prior experience in office management or administrative roles with a strong focus on financial support is highly preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with computer literacy across various platforms
Demonstrated experience with bookkeeping software such as QuickBooks or similar programs
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Excellent phone communication skills coupled with proper phone etiquette for professional interactions
Previous clerical experience involving data entry, filing, proofreading, and handling confidential information confidently
