Front Desk / Referral Coordinator (Full-Time)

Are you a friendly, organized professional who enjoys helping patients and thrives in a fast-paced medical office? Swetang Patel, MD, PA is seeking a dependable Front Desk / Referral Coordinator to join our growing family practice.

As the first point of contact for our patients, you'll play a key role in creating a welcoming experience while ensuring referrals, scheduling, and administrative processes run smoothly. Position Details

Position: Front Desk / Referral Coordinator
Schedule: Monday–Friday, Day Shift
Employment Type: Full-Time
Location: Jacksonville, NC

What You'll Do

As our Front Desk / Referral Coordinator, you'll provide outstanding customer service while supporting the daily administrative operations of our practice. Responsibilities include:

Greet patients, visitors, and vendors in a professional and courteous manner.
Answer incoming phone calls, route messages, and assist patients with questions.
Schedule, reschedule, and confirm patient appointments.
Verify patient demographic and insurance information and update electronic medical records.
Collect co-pays, balances, and other patient payments while maintaining accurate financial records.
Check patients in and out efficiently while ensuring a positive patient experience.
Process incoming referrals and coordinate outgoing referrals to specialists and ancillary services.
Obtain insurance authorizations and pre-certifications as required.
Monitor referral status and follow up to ensure appointments are scheduled and completed.
Communicate with specialty offices, hospitals, imaging centers, and insurance companies regarding referral requests and authorizations.
Scan and upload medical records, referral documentation, and other patient information into the electronic medical record.
Assist providers and clinical staff with administrative tasks as needed.
Maintain confidentiality and comply with HIPAA regulations.
Perform additional front office duties to support the needs of the practice.

Qualifications

High school diploma or equivalent required.
Minimum of two year of medical office, front desk, and referral coordination experience required.
Knowledge of medical terminology preferred.
Experience with insurance verification, referrals, and prior authorizations preferred.
Experience using electronic medical records (EMR/EHR) systems preferred.
Strong computer, telephone, and organizational skills.
Excellent verbal and written communication skills.
