Part Time - Entry Level Remote Admin Assistant for Short Term Rental Management Company

If that kind of work feels natural to you, this remote operations role might be your perfect match.
We are a small but quickly growing short term rental management company in Georgia and Florida. With growth comes more properties, more moving parts, and more back office details that need a steady, organized, detail loving mind behind the scenes. That is where you come in. Your work supports field operations, keeps information flowing, and helps maintain consistency across multiple cities.
Even though this role is remote, you will not feel like you are sitting on an island with nothing but a laptop and a dream. You will still feel like part of a real team. We are a small, connected, talk-to-each-other kind of group, and communication is a big part of how we operate. You will chat with supervisors, touch base with management, join weekly meetings, and stay looped into the day to day just like everyone else. Remote is the location, not the culture.
About 90 percent of your work will be remote and self paced. Most tasks can be done whenever it fits your day, though some responsibilities do require availability during turnover periods to support team communication, address quick needs, or jump in when something unexpected pops up. There will also be a few fixed tasks each week, such as scheduled meetings or set communication windows. Because this role supports real properties in real cities, you will need to be local to the Jacksonville area. In person work is rare, but there may be occasional moments when we need your help on site for things like vendor coordination, filling small scheduling gaps, or joining an all hands new listing setup. You will be trained on the basics so when these moments do come up, you feel confident stepping in.

What You’ll Be Rocking (Your Superpowers):'
Quality Oversight
- Documenting KPIs by reviewing inspection reports and cleaner tasks to spot patterns before they become refund requests
- Attending weekly Ops Elevation meetings and bringing clear notes on what is working and what needs attention from the reports
Remote Admin and Back Office
- Updating internal checklists, forms, and unit documents so information stays clean and accessible
- Creating and maintaining administrative documents for each unit, including trackables like filters, batteries, smart device management, and other recurring tasks
- Managing vendor lists and keeping backend details crisp and functional
- Managing job ads, keeping responses organized, and making sure our postings stay current
- Assisting with setting up or adjusting software tools when we roll out new features
- Handling any other one off business admin tasks that pop up, from sending property reports to owners to solving “why is this like this” mysteries.
Inventory and Supply Management
- Tracking inventory levels for units and placing inventory orders before anything runs out. This includes both unit supplies and cleaner/employee supplies.
Scheduling, Coordination, and Phones
- Creating and assigning daily tasks for all units across all locations on a rolling basis so every property has a person scheduled and ready. We work on a rolling schedule, so scheduling tasks need to happen within 1 hour as they pop up into your app when a booking is confirmed (which can be anytime of the day).
- Making sure employees actually show up by monitoring arrivals, check ins, and app notifications
- Coordinating vendors for maintenance, repairs, quotes, and “we need someone today” situations
- Managing unit problem tasks/work orders and scheduling follow up work or quotes for vendors and team members
- Manning the phone lines for incoming calls from clients, vendors, or partners with clarity and calm
- Providing occasional guest communication coverage during planned windows
OTA Claims and Platform Support
- Managing OTA claims when team members report damages or issues
- Communicating with OTA platforms in a clear, professional way so we have the best shot at successful recoveries
Property Management Support
- Assisting with guest communication through messages and phone calls, bringing clarity, calm, and the occasional miracle when someone can’t find the WiFi password that is literally on the fridge
- Helping with unit pricing tasks and comp analysis
- Reviewing background checks for guests
- Assisting with software automations, system tweaks, templates, and settings to keep everything running smoothly behind the scenes
- Supporting invoicing, owner updates, and other client facing administrative tasks
- Helping maintain unit records, notes, and operational standards across all properties
Rare Field Support
- Filling in for a quality control inspection if a supervisor is unavailable
- Meeting a vendor onsite on rare occasions when supervisors cannot or doing admin work like going to permitting offices
- Assisting on location with new listing setups when needed, from designing, ordering and helping the team bring a unit to life
Many Hats Moments
- Helping with additional tasks as they arise and contributing wherever the team needs support
- Completing or assisting overall in tasks like creating documents, organizing workflows, updating systems, or smoothing out random STR chaos
- Serving as the steady, detail loving human who keeps operations from drifting into “no one knows where anything is” territory
Heads up: this isn’t an exhaustive list. You’ll wear many hats, and sometimes even a cape. Flexibility and a “jump in where needed” mindset are part of the magic.
The Basics:
- Availability between 10 AM and 3 PM on turnover days for quick communications and light tasks when they’re needed from team members in the field (usually 10-15 minute tasks, if needed). After training you will have designated on-call days for this.
- Attend our weekly remote Ops Elevation Meeting remotely via google meet
- Estimated weekly hours 10 to 25 depending on bookings and seasonality
- Must be fine with fluctuating hours on a week by week basis
- Must have a smartphone, computer, reliable WiFi, transportation when needed, and strong communication skills
- No Short term rental or admin experience required, but loving admin and organization is a must
- Be local or near to Jacksonville, FL or Savannah, GA

- Hourly base pay starting at $15 (this is your base pay, there are ample oppurtunities to receive bonuses through incentives).
- Additional fixed weekly pay for tasks that are hard to measure by the minute and consistent in nature
- Separate pay for guest and client communication, including quick response bonuses
