Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where everyone can thrive. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant workplace.

Duties

Manage front desk responsibilities, greeting visitors when needed and directing them appropriately with professional phone etiquette
Operate multi-line phone systems, handle incoming calls, and provide prompt, courteous customer support
Maintain organized filing systems, including digital files using Google Workspace, Buildertrend and Microsoft Office applications
Perform data entry tasks with accuracy, including invoicing, record keeping, and updating databases such as QuickBooks
Assist with calendar management and scheduling appointments for team members or executives
Support office management activities such as supply ordering, mail distribution, and maintaining office equipment
Proofread documents and correspondence to ensure clarity and professionalism
Provide clerical support including photocopying, faxing, and preparing reports or presentations as needed
Use of ChatGPT and online construction management software will be utilized

Requirements

Proven office experience with strong organizational skills and attention to detail
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
Familiarity with QuickBooks or bookkeeping software is preferred
Excellent computer literacy and typing skills for efficient data entry and document management
Strong customer service skills with the ability to handle phone inquiries professionally and courteously
Bilingual abilities are a plus to serve diverse client and subcontractor needs effectively
Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment
Personal assistant or administrative experience that showcases multitasking capabilities is highly valued
Construction basics and knowledge preferred.
