Full Job Description

Background

Showa Boston Institute of Language and Culture is a residential academic institution for about 300 students established by Showa Women’s University in Tokyo in 1988. Its mission is to increase students’ English proficiency, to develop their cross-cultural awareness, and to foster their personal growth. The 40-acre campus rests on a hilltop overlooking the Boston skyline. At the heart of the campus are administrative offices, residences, a dining hall, and educational facilities.

Position Summary

Support administrators and faculty to ensure the smooth running of the Academic Department and efficient academic services to students.

Department Support

Purchase supplies, keep facilities stocked, maintain records for the department
Coordinate opening and closing ceremonies for semester-long programs- including room reservation and setup, speakers, student lists, program, handouts, and presentations, working with staff as required- and assist short program coordinators with their ceremonies if necessary
Arrange for printing of student certificates and prepare certificates for presentation in the closing ceremony at the end of each program
Create and maintain the experiential activity calendar
Help plan and coordinate on-campus curricular activities and events (e.g. forums, round robins, symposia, etc.)
Work with the Faculty-Coordinator for Outreach and Co-Curricular Programming to maintain of the co-curricular contact list
Ensure that the Campus Calendar for academic matters is updated, and relevant activities and events are on the faculty and academic department tabs
Review final grade report for potential errors and inconsistencies, and submit to Tokyo each session/semester
Submit food requests for special events as needed
Submit check requests, credit card requests, and petty cash requests as needed
Provide other support as required

Faculty Support

Support the Assistant Director for Faculty Affairs in the orientation of new part-time faculty
Oversee the part-time faculty office, ensuring it is well-maintained and supplied
Ensure that classrooms are clean and supplied and that adequate supplies are available to faculty
Maintain and update the New England Studies page and the Student Support page in the Faculty Resource Guide
Offer operational support to faculty and staff on all programs, including semester programs and short programs

Transportation and Student Trips

Work with the Assistant Director for Curriculum and Instruction to plan the schedule of New England Studies trips in the spring semester
Assist Faculty-Coordinator for Outreach and Co-Curricular Programming with booking trips and submitting transportation requests for other class-based trips (e.g. Volunteering).
Create and update itineraries including the time, date, place, lunch and transportation for New England Studies trips and other field trips
Communicate trip details to faculty via email
Submit transportation and food requests in a timely way, and ensure trip arrangements and payments are made
Coordinate with Facilities Director and/or the Transportation department, along with the Food Services Manager, to confirm upcoming transportation and food requests

Student Testing

Work with short program coordinators to arrange placement testing for their students if necessary
Order and return the TOEIC test each semester, schedule rooms, and assign proctors
Communicate test information and scores to students and the Tokyo campus
Oversee test security, training of proctors, and documentation

Skills

Ability to handle multiple tasks efficiently and effectively at the same time.

Computer and data management

Requirements

Bachelor’s degree
Commitment to student, faculty, and staff success
Previous office experience, preferably in academic setting
Multicultural experience, particularly with Japan
Ability to use or learn Office365 (various applications), MOODLE, and Microsoft Word/ Excel

Schedule: In person, 9:00am – 5:00pm, irregular hours required occasionally

Pay: $58,000.00 - $66,000.00 per year
