Overview

We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines office and financial management, ensuring the smooth operation of our office environment while maintaining accurate financial records. The ideal candidate will be energetic, detail-oriented, and possess a passion for creating efficient workflows that support our team’s success. Duties

Manage daily office operations, including front desk duties, greeting visitors, and coordinating office supplies to maintain an organized and welcoming environment
Oversee multi-line phone systems, handle incoming calls with professionalism, and direct inquiries to appropriate team members
Maintain accurate financial records using QuickBooks and other productivity software; process invoices, track expenses, and perform data entry tasks with precision
Support calendar management and scheduling for executives and team members, ensuring timely appointments and meetings
Prepare professional correspondence, proofread documents, and handle word processing tasks using Microsoft Office and Google Workspace tools
Organize filing systems—both digital and physical—to ensure quick retrieval of important documents and compliance with record-keeping standards
Provide exceptional customer service by assisting clients or visitors with inquiries via phone or in person, demonstrating excellent phone etiquette and client communication skills
Event planning skills required for a large annual convention & tradeshow and a few smaller meetings.

Experience

Proven experience in office management or administrative roles, ideally within a professional setting that requires multitasking across clerical duties and customer support
Strong proficiency with QuickBooks accounting software, Microsoft Office suite (Word, Excel), Google Workspace, and productivity tools for data entry and document creation
Demonstrated ability to manage calendars, schedule appointments, and coordinate meetings efficiently
Excellent organizational skills with attention to detail in filing, proofreading, and maintaining accurate records
Bilingual skills are highly desirable to facilitate communication with diverse clients or team members
Prior experience handling multi-line phone systems, front desk responsibilities, or personal assistant duties is preferred
Strong computer literacy combined with technical proficiency in office technology tools to streamline workflows and enhance productivity
