ABOUT THE DISTRICT

Jeffco Public Schools (Jeffco) is located in Jefferson County, Colorado. It is the second largest school district in Colorado serving 69,000 students across 155 schools. Pay Range: $23.78 - $29.29 Effective as of: 08-16-2025

PRE-EMPLOYMENT REQUIREMENT

The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.

RESPONSIBILITIES

Under general supervision, provide secretarial support for school/administrator and/or provide expertise in a specific area/unit function(s).

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

? Attend to student needs, monitoring daily attendance, checking in late arrivals and early dismissals, verify unexcused absences, printing and distributing daily attendance report to faculty.
? Coordinate and distribute relevant correspondence for non attenders; 1st letter sent to parents. (Medical and compulsory and initial court sent to Student Outreach).
? Act as public relations agent for people contacting the school, including answering and directing phone calls.
? Work with Principal/Assistant Principal on all discipline actions. Type suspension letters and input all discipline issues.
? Up load and downloads all daily transactions.
? Enroll and withdraw all students, corresponding with other schools. Input all transactions on computer.
? Request and transfer student files within/outside the District and create new files for incoming students.
? Completely organize all materials for report cards.
? Calculate and process records for mandatory State One-day-Count.
? Assist in maintaining student health plans when necessary & acts as the primary backup to the Clinic Aide.
? Perform other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required.

EXPERIENCE: 2-3 years secretarial experience. Experience in department/unit functions preferred.

SKILLS, KNOWLEDGE, & EQUIPMENT: Requires oral and written communications, interpersonal, organizational, public relations, phone etiquette, and advanced computer and software skills (Microsoft Office - Windows, Word, Excel as well as web-based tools - MAP, CMAS, Lexia, Moby Max etc.), Internet, e-mail and general office equipment at time of hire. Ability to handle multiple tasks and deadlines. Ability to maintain confidentiality in all aspects of the job. May be required to take the District Skills Assessment Test as part of the application process.

CERTIFICATES, LICENSES, & REGISTRATIONS: First Aid & CPR Certificate highly recommended.

SUPERVISION/TECHNICAL RESPONSIBILITY: May serve as a lead on defined projects and/or be partially accountable for training, providing general instruction, and reviewing the work of others performing the same or directly related work. Act as a resource for departmental staff and for individuals directing inquiries to department.

CONTACTS: Daily contact with teachers and administration, personnel within/outside department/building, students, parents, vendors/suppliers, general public, applicants, and/or District advisory committees to maintain relationships, resolve problems, and negotiate matters. May involve routine and/or confidential matters.

SAFETY TO SELF AND OTHERS: Medium exposure to self to repetitive motion injuries due to keyboarding. Low exposure to self to cuts and bruises due to typical office accidents.

WORK ENVIRONMENT: The noise level in the work environment is moderate.

MENTAL FUNCTIONS: While performing the duties of this job, the employee is regularly required to communicate and use interpersonal skills. The employee is frequently required to analyze, coordinate, compile, evaluate, synthesize, and compute. The employee is occasionally required to copy, instruct, and negotiate.

JUDGMENT AND DECISION MAKING: Work is assigned by self, supervisor, and departmental staff. Requires judgment, decision making, and analytical skills to determine manner and operational steps necessary to properly handle inquiries and perform daily tasks within professional standards. Decision making is guided by Board, District, department, and/or school policies and procedures. Decision making may require collaboration with supervisor, administrators, certificated or classified staff, parents, and/or students. Errors in decision making could lead to the communication of inaccurate data, resulting in loss of confidence in the department or unit. Supervisor is occasionally involved in decision making.

DIVERSITY OF DUTIES: Duties require cross training in department policies, procedures, and organization; may also require budget and/or accounting cross-training. Duties and actions impact individuals within the department and/or building.
