Full Job Description

Responsibilities:

Provide administrative support to executives
Prepare, edit, organize and maintain correspondence, communications, presentations, and other documents
Take accurate and comprehensive notes at meetings
Transcribe and proofread documents for accuracy and clarity
Manage memos, reports, invoices, including sensitive information
Review, prioritize, respond to emails
Draft correspondence such as emails and letters
Use technical tools and software such as Microsoft Office Suite to organize details and communicate effectively and efficiently
Perform data entry tasks to maintain accurate records and databases
Organize and maintain physical and electronic files and records
Assist with front desk operations, including greeting/screening visitors and answering phone calls and taking messages
Assist with customer service inquiries and provide support as needed
Schedule appointments, meetings and manage calendars
Research and organize data in preparation for meetings
Help with daily time management
Run errands as requested
Plan travel, including flights, accommodation and ground transportation
Coordinate events and speaking engagements
Keep confidential information
Manage office duties such as office supplies
Other duties and tasks as assigned

Requirements:

Experience as an executive assistant or in a similar role
Excellent time management skills with discipline and a personal accountability mindset
Excellent organizational skills with the ability to prioritize tasks
Strong verbal and written communication skills.
Proficient with MS Office and agency management systems with general computer skills and ability to learn and continuously improve technical skills
Ability to work with multiple computer applications while on the telephone and demonstrate speed, accuracy and a high attention to detail
Strong attention to detail with excellent proofreading skills
Ability to handle sensitive information with confidentiality and discretion\Possess an outgoing, upbeat, positive and enthusiastic attitude with a sense of urgency
Demonstrate strong customer focus with ability and tact to be professional with internal and external stakeholders and handle difficult customer interactions
Proactive problem solver able to solve complex problems independently without direct supervision
Confidence in building rapport and trust with clients and stakeholders
Good listener: ability to hear, understand, and communicate complex business challenges
Must be able to pass a Criminal and Credit Background Check
