Full Job Description

Job Summary

The Rates & Order Entry Specialist plays a critical role in the daily lifecycle of our logistics pipeline. This position requires quick responses to requests for quotes (Rates). Once a customer has accepted a quote, we’re looking for lightning-fast, accurate data entry into our systems (Order Entry). Additionally, this role provides support to our Dispatch team to help with tracing containers at the rail yards.

Key Responsibilities

1. Rates & Quoting (~50%)

Quote Generation: Promptly respond to container import and export requests via standardized templates.
Discount Requests: Work with Pricing Manager to seek approval for special rates, while conscious of margin optimization.
Availability Requests: Work with Dispatch team to confirm all availability limitations.

2. Order Entry & Booking (~35%)

Data Ingestion: Accurately input new shipments into the Trinium/TMS system immediately upon booking confirmation.
Documentation Verification: Review client documentation (Work Orders, Hazmat paperwork, etc) for accuracy and completeness before system entry.
Collect Missing Information: If any information is missing, continue to track and follow up with customers for complete order information.
Handoff Coordination: Seamlessly transition of order management to the Dispatch teams for scheduling and execution.

3. Container Tracing & Dispatch Support (~15%)

Pre-Ground Tracing: Daily morning trace of all inbound containers that have not yet grounded at the rail ramp. Utilize rail portals to pull real-time ETA updates, and discharge statuses.

Role Requirements & Qualifications

Experience: Minimum of 1–3 years of experience within the freight forwarding or logistics industry (required).
System Knowledge: High proficiency with Google Workspace (Gmail, Sheets, Docs, etc). Some experience with TMS (Transportation Management Systems (e.g., Trinium, CargoWise One, Descartes, etc) is nice to have.
Industry Acumen: Solid understanding of trucking, container and general transportation terminology
Speed & Accuracy: Exceptional data entry skills (high WPM with a low error rate) and the ability to multitask.
Communication: Sharp written and verbal communication skills for providing top-tier service to clients.

The 30-Minute Rule: Turning around standard spot-quotes within 30 minutes of the request to maintain a competitive edge.
Zero-Error Data: Ensuring order entry details match client paperwork exactly, eliminating downstream billing disputes or order delays.
