Full Job Description

Full Job Description: Business /Assistant to the CEO is responsible for providing comprehensive support to the CEO and managing the organization’s daily office operations, including working remotely with the local team as needed . This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. Essential/Primary Responsibilities: Assists the CEO with daily administrative duties and completes a broad variety of administrative tasks of the CEO that include managing all active calendar of appointments; completing expense reports for inventory , composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings for the company . You will Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy One will Communicate with the general staff on the CEO’s behalf and coordinates logistics with high-importance meetings both internally and externally off site Coordinates meetings and strategic activities. Drafts reports, daily letters of activity & proposals when necessary. Prepares and coordinates oral and written communication for the entire team . Processes and maintains proper licensure needed to operate the business. Coordinate all Executive Team meetings and assist with staff meetings and events as needed. SUCCESSFUL CANDIDATES WILL POSSESS THE FOLLOWING QUALIFICATIONS: Significant executive support experience, including supporting all tasks for the CEO . Expert proficiency with Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials. Technical proficiency and problem-solving skills related to: IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications). Strong verbal and written communication skills. Exceptional organizational skills and impeccable attention to detail. High degree of professionalism in dealing with diverse groups of people. Make appropriate, informed decisions regarding priorities and available time. Ability to complete a high volume of tasks and projects with little or no guidance for any company held within the organization Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround. Able to maintain a high level of integrity and discretion in handling confidential information. Excellent judgment is essential. Ability to switch gears at a moment’s notice. Working Environment: Due to the confidentiality of the work, the functions of this position should be performed in a private office location that we will provide . Occasional travel to local business may be involved. Must be a driven individual who can Multi-task . You will be required to book appointments, keep the studio clean to stay in appliance with the board sanitation requirements bathrooms front reception area , order inventory weekly , assist the CEO with operational tasks multiple business tasks WILL be given at the beginning of the week that has deadlines that need to be met .
