Administrative Assistant

Deck Family Farm is looking for an administrative assistant to keep our owner's days running smoothly and keep farm communication tight. This is a role for someone who's organized, sharp with people, and comfortable owning the flow of information across a busy, diverse operation and understands the core concept of managing up.

About Us

Deck Family Farm is a regenerative, highly diverse local farm. We run six livestock enterprises, farmers markets, a membership retail program, and a student farmer training program, all built around organic practices, soil health, biodiversity, and community engagement. We're committed to being a model for regenerative agriculture in our region.

What the role looks like

Owner support

Reducing the administrative load on the owners is the most essential part of this role
Clear communication and strong prioritization are paramount

Daily inbox and communication management (Monday through Friday)

Scan and triage incoming emails each day
Pull out what's relevant and flag it clearly for the owner's attention
Draft or send responses on the owner's behalf after clarification.
Maintain clear, effective communication channels between owners, managers, vendors, customers, and stakeholders
Track ongoing communications and follow up on anything left hanging

Schedule management

Track the owners' schedules at all times and provide feedback to owners on where they need to be and when
Send a schedule update the evening before, covering the next day
Be available during the work day to amend owners schedules.
Flag conflicts or gaps before they become a problem
Manage calendars, schedule meetings, and coordinate travel arrangements

Daily check-in

End-of-day check-in with the owner to review what got done and what didn't
Proactively notice issues that weren't addressed and carry them into the next day's plan
Keep a clear, shared record of open items (we currently use a spreadsheet for this and are open to a better system if you have one)

Organizational and data support

Manage administrative systems: record-keeping, scheduling, and document management
Assist with data entry, analysis, and generating reports to support decision-making
Work with spreadsheets, Google Drive (Docs, Sheets, Slides), and other relevant tools

Who we're looking for

Someone who connects the dots between people, projects, and information across a diverse operation
A strong, clear communicator, in writing and in person, who can translate between departments and audiences
Someone who circles back without being asked and closes the loop on their own
Comfortable managing up and keeping a busy owner informed.
Organized and detail-oriented, able to spot what matters in a pile of information and connect it to the bigger picture
Trustworthy with sensitive business and personal information
Prior experience in an administrative, executive assistant, or chief of staff type role a plus
A passion for regenerative agriculture, sustainable practices, and local food systems a plus
Familiarity with farm, agriculture, or small business operations a plus but not required
Able to work independently and collaboratively in a dynamic, fast-paced environment

Why this role matters

Deck Family Farm is a diverse operation, with six livestock enterprises, farmers markets, a CSA program, and a student training program all running at once. What we want is someone who can act as the glue holding communication together across all of it.

Right now there is an excess pull on owner's time tied up in day-to-day tracking, and that's time we want spent on higher-level work: building out an employee review and education program, moving forward on a new house project, and strengthening communication from the farm to the outside world. This role exists to free up that space, so the owner can lead instead of just keep up.

Schedule: Monday through Friday, 7:00 AM to Noon (approx. 25 hrs/week) Pay: $24-30/hour, depending on experience.
