Elaine Smith is a luxury manufacturer of handcrafted indoor and outdoor decorative pillows, serving leading retailers, interior designers, hospitality projects, and e-commerce partners throughout North America.

We are seeking a dynamic and detail-oriented Accounting & Operations Coordinator to join our team! In this vital role, you will be the backbone of our financial operations, ensuring accuracy, compliance, and efficiency across all accounting functions. Your energetic approach and meticulous attention to detail will help streamline processes, support financial reporting, and maintain the integrity of our financial data. This position offers an exciting opportunity to contribute to a mission-driven organization where your expertise makes a real impact every day.

Job Summary

Working closely with ownership and our office team, you'll help ensure our financial records are accurate, our accounting processes run smoothly, and our Shopify and QuickBooks systems remain well organized. You'll also support operational projects and continually look for opportunities to improve efficiency and accuracy.

This is not a traditional bookkeeping position. You'll play an important role in supporting both our accounting and day-to-day business operations while helping us improve the systems and processes that keep our company running efficiently.

Key Responsibilities

Accounting & Financial Operations

Accounts payable and accounts receivable
Bank and credit card reconciliations
Customer payments, credits and refunds
Journal entries and month-end support
Assist with financial reporting and year-end CPA requests
Assist in investigating inventory, order, and payment discrepancies
Reconcile Shopify payouts and payment processors
Monitor and assist with chargeback resolution
Process independent sales representative commissions
High level of integrity and discretion when handling confidential financial information

QuickBooks Enterprise & Inventory -Experience with QuickBooks Enterprise Desktop is required.

Responsibilities include:

Maintain the integrity of our QuickBooks Enterprise data
Inventory transactions and adjustments
Investigating inventory discrepancies
Reconciling QuickBooks with Shopify activity
Maintaining customer and vendor records
Running financial and inventory reports

Shopify & Operational Support

Review and resolve order, payment and refund exceptions
Assist with customer account corrections
Provide occasional support with order management during busy periods
Learn and support other business software as needed
Assist with administrative and operational projects

Qualifications

Required

Minimum five years of bookkeeping or accounting experience
Strong QuickBooks Enterprise Desktop experience
Experience working with inventory in QuickBooks
Excellent reconciliation skills
Strong Excel skills
Exceptional attention to detail
Ability to work independently and manage priorities
Effective communication skills for collaborating across teams.
Certifications in accounting systems or bookkeeper experience are advantageous.

Preferred

Shopify experience
Manufacturing, wholesale or inventory-based business experience
Fishbowl experience
Experience reconciling e-commerce payments
Comfortable learning new software and systems
