Bilingual Administrative Operations Coordinator

Organization: Edna W. Runner Education Center
Job Type: Full-time, non-exempt
Schedule: Monday–Friday 7:15am-3:15pm, occasional nights & weekend for meetings & events
Work Location: On-site
Compensation: Competitive and commensurate with experience

About Us

The Edna W. Runner Education Center is a mission-driven nonprofit organization dedicated to supporting the academic, social, and emotional development of elementary and middle school students through after-school care, tutoring, summer camp, and other enrichment programs.

In August 2026, we will proudly open a new elementary school program serving students in kindergarten through fifth grade. We are seeking a compassionate, highly organized, and dependable Bilingual Administrative Coordinator to support the daily operations of both our new school and existing youth programs.

This is an exciting opportunity for a service-oriented professional who enjoys assisting families, supporting educational programs, and helping an organization operate efficiently while making a meaningful difference in the community.

Position Summary

The Bilingual Administrative Coordinator provides front-office, financial, grant-related, and program administrative support. This position serves as a primary point of contact for families and works closely with school leadership, program directors, the Finance Director, staff members, and community partners.

The ideal candidate is bilingual in English and Spanish, detail-oriented, self-motivated, and experienced in nonprofit administration, preferably within an educational or youth-serving setting. The successful candidate will have strong organizational and customer-service skills and experience with data entry, recordkeeping, accounting support, grant documentation, and general office administration.

Essential Duties and ResponsibilitiesFront Office and Family Support

Manage assigned daily administrative and operational duties for the K–5 school.
Maintain an organized, professional, and welcoming front-office environment.
Serve as a primary point of contact for K–5 students and families.
Assist families with enrollment, registration, and school or program inquiries.
Respond promptly and professionally to telephone calls, emails, and in-person visits.
Support effective communication among families, school staff, and program staff.
Maintain accurate filing systems, student records, and confidential documents.
Prepare correspondence, reports, forms, and other administrative materials as assigned.
Track attendance, enrollment, and program participation data and prepare reports as needed.
Perform all essential front-office responsibilities in the absence of the Administrative Assistant.

Finance Director Support

Provide accounting support and complete financial data entry as assigned.
Create, update, and populate Excel spreadsheets used for tracking and reporting.
Organize and compile financial data needed to support budget preparation.
Maintain accurate records and documentation in accordance with organizational procedures.

Grant Program Support

Assist with maintaining documentation required for grants and federally funded programs.
Support data collection, recordkeeping, compliance monitoring, and reporting.
Organize records and supporting materials for grant-funded programs.
Assist leadership with administrative responsibilities related to grant-funded initiatives.
Help ensure that required documentation is complete, accurate, and submitted in a timely manner.

School and Afterschool Program Coordination

Provide administrative support to school leadership and program directors.
Assist with scheduling meetings, events, activities, and appointments.
Support special projects and organization-wide initiatives as assigned.
Help coordinate communication and administrative activities across school and program operations.

Food Program Administration

Assist with the administration and coordination of the organization’s food program.
Gather accurate participation and eligibility information from parents and food-service staff.
Maintain complete and accurate records required for program compliance and monthly billing.
Support timely data collection, reporting, and reconciliation related to food-service activities.

Required Qualifications

Bilingual proficiency in English and Spanish.
High school diploma or GED.
At least three years of experience in administrative assistance, office management, or administrative coordination.
Experience working in a nonprofit organization, educational setting, community-based program, school, or youth-serving organization.
Basic understanding of accounting information and the ability to enter and organize financial data accurately.
Strong data-entry, filing, and recordkeeping skills.
Proficiency in Microsoft Office, including Word, Excel, and Outlook.
Proficiency in Google Workspace.
Familiarity with database and accounting software.
Excellent organizational, written and verbal communication, interpersonal, and customer-service skills.
Ability to manage confidential and sensitive information with professionalism and discretion.
Ability to organize and manage multiple priorities in a fast-paced environment.
Ability to work independently, exercise sound judgment, and complete assignments accurately and on time.

Preferred Qualifications

Associate degree or higher.
Administrative experience in a school or educational setting.
Experience supporting grant documentation, compliance, or reporting.
Experience with state or federal contracts and funded programs.
Experience providing accounting, budgeting, or financial-reporting support.
