Location: Remote (Primarily based in Florida)
Language Requirement: Professional fluency in English and Spanish or Portuguese
Role Type: Hybrid / Consolidated Role (Chief of Staff & Strategic Business Partner)
Pay Range: $90,000 - $120,000, plus potential performance bonuses

We are seeking a high-impact, bilingual Chief of Staff & Executive Operations Partner to act as a strategic force-multiplier for our Executive Leadership team in the luxury millwork and custom cabinetry space. This consolidated role sits at the intersection of executive operations, strategic execution, client relations, and cross-functional leadership across design, engineering, workshop production, and installation.

You will operate as the operational backbone and connective tissue across leadership, project management, sales, artisans, and external partners—ensuring our custom architectural woodwork operations run smoothly, scale effectively, and maintain our uncompromising standards of craftsmanship and client satisfaction.

What You'll Do

1. Strategic Execution & Operational Cadence

Operationalize leadership vision by translating growth strategies into clear, sequenced execution plans across design studios, manufacturing facilities, and field installation teams.

Own and drive the leadership rhythm of business, including monthly business reviews, production forecasting loops, leadership meetings, and accountability tracking.

Manage a structured triage process for high-priority client escalations, material supply chain blockers, and cross-functional operational bottlenecks.

Partner with Finance and Operations to support capacity modeling, workshop throughput planning, scorecards, and margin visibility.

2. Executive Communications & Client Relations

Draft and manage executive communications, including company-wide updates, luxury client correspondence, leadership announcements, and partnership presentations.

Plan and facilitate leadership team meetings, strategic off-sites, and executive reviews, ensuring alignment across design, production, and installation teams.

Serve as an executive delegate in high-stakes discussions with luxury builders, interior designers, architects, and high-net-worth clients when appropriate.

Ensure cascaded communication across remote teams, showrooms, and manufacturing sites is clear, timely, and aligned with leadership intent.

3. Advanced Administrative & Executive Operations

Independently manage complex executive calendars across multiple time zones, proactively resolving scheduling conflicts for client walk-throughs, design sign-offs, and site visits.

Strategically manage complex travel itineraries for site visits, vendor coordination, and luxury installations.

Oversee financial operations specific to high-end project workflows, including budget tracking, expense approvals, vendor invoices, and compliance.

Lead the planning, coordination, and execution of high-impact corporate events, showroom showcases, and industry trade gatherings.

4. Cross-Functional Leadership & Special Projects

Act as the connective tissue between executive leadership, sales/estimating, custom design/engineering, shop floor production, and field installation crews.

Lead high-impact, ambiguous, cross-functional projects on behalf of leadership—from custom software transitions to supply chain optimization initiatives.

Serve as a trusted advisor, thought partner, and integrator across the leadership team, influencing without positional authority.

Foster a culture of excellence, precision, and cross-team collaboration across all remote and physical work locations.

What You're Looking For / Qualifications

Qualifications

10+ years of experience in a combination of Chief of Staff, senior Executive Assistant, business operations, or project management roles—ideally within luxury manufacturing, high-end architectural millwork, custom cabinetry, interior design, or high-end construction.

Bilingual capability: Professional fluency in English and either Spanish or Portuguese is required to coordinate with our diverse international supply chain, clientele, and regional partners.

Location: Remote-friendly, with a requirement to be primarily based in Florida.

Demonstrated track record of partnering with senior executives to drive operational improvements, organizational change, and complex projects from inception to execution.

Exceptional background in stakeholder communications, event planning, financial/budget tracking, and calendar optimization.

Skills & Competencies

Strategic Operator & Organizational Glue: Think at the executive level while appreciating the granular details of luxury craftsmanship; instinctively act as the connective tissue that keeps a complex operation aligned.

Exceptional Communicator: Outstanding written, verbal, and cross-cultural communication skills with the ability to build rapport with high-end clientele, designers, and master craftspeople.

Bias for Action & Problem Solving: Bring momentum and structure to fast-paced, high-pressure environments, anticipating project bottlenecks and resolving them gracefully.

Trusted Advisor: Handle sensitive client lists, financials, and proprietary designs with utmost discretion.

Detail-Oriented & Tech Literate: Highly organized with a sharp eye for quality and timelines, comfortable using modern productivity tools, ERP systems, and project management software.

Pay: $80,000.00 - $120,000.00 per year
