Full Job Description

Job Overview
The Front Desk Supervisor is responsible for overseeing all front desk operations to ensure a smooth, efficient, and productive daily workflow. This role combines hands-on front desk duties with supervisory responsibilities, ensuring exceptional customer service while maintaining an organized and fully optimized schedule.

Key responsibilities include managing patient check-in and check-out processes, answering and directing incoming calls, scheduling and confirming appointments, and ensuring the daily schedule remains full, efficient, and productive. The Front Desk Supervisor actively monitors appointment flow, identifies gaps or cancellations, and works proactively to fill openings to maximize productivity.

In addition, the Front Desk Supervisor oversees the completion of all front desk tasks, ensuring accuracy, timeliness, and accountability. This includes following up on schedules, verifying that all assigned duties are completed, and supporting front desk staff to maintain consistent performance and operational efficiency.

The Front Desk Supervisor is also responsible for following up with sedation candidates to ensure they are completing all required steps for medical clearance at least 15 days in advance of their scheduled procedure. This includes monitoring clearance timelines, communicating requirements to patients, and coordinating with clinical staff as needed to prevent scheduling delays or cancellations.

Responsibilities

Oversee daily front desk operations to ensure efficiency, organization, and excellent customer service
Perform and supervise patient/client check-in and check-out procedures
Answer and manage incoming calls; schedule, confirm, and coordinate appointments
Monitor and manage the daily schedule to ensure it remains full, productive, and optimized
Proactively fill cancellations and open appointment slots to maximize productivity
Ensure all front desk tasks are completed accurately and on time
Follow up with front desk staff on assigned duties and accountability
Review schedules regularly to identify gaps, conflicts, or inefficiencies
Follow up with sedation candidates to ensure all medical clearance requirements are completed at least 15 days in advance
Coordinate with clinical staff as needed to prevent scheduling delays or cancellations

Skills

Strong leadership and team supervision skills within a dental office setting
Excellent patient service skills with a professional, friendly chairside-to-front-desk approach
Proficiency with dental practice management software (scheduling, patient records, treatment plans)
Strong knowledge of dental scheduling, including procedure timing and provider coordination
Ability to manage high call volumes and maintain professional phone etiquette
Understanding of dental terminology, procedures, and sedation scheduling requirements
Strong organizational and time-management skills with attention to detail
Ability to maximize chair time and maintain a productive, efficient schedule
Strong follow-up skills for patient appointments, treatment plans, and sedation clearances
Knowledge of patient check-in/check-out, insurance verification, and basic billing processes
Ability to handle patient information confidentially and in compliance with HIPAA
Problem-solving skills to manage cancellations, no-shows, and scheduling conflicts
Effective written and verbal communication skills with patients, staff, and providers
Team-oriented mindset with the ability to coach, train, and support front desk staff
