Full-Time | Compensation Based on Experience

Job Description

Own the financial integrity of three well-run, growing businesses.

This position requires a background in financial operations using Quickbooks to reconcile all transactions and the financial know-how to properly categorize for both business decision making and tax preparation.

Grand Home Inspection, Grand Machine & Design, and Peace Out Pests value operational excellence and financial clarity. Our books are consistently maintained, our reporting is structured, and leadership meets regularly to review performance. This role strengthens that foundation.

We are seeking a Financial Operations Manager who will maintain clean, accurate financials, uphold disciplined processes, and contribute thoughtful financial interpretation alongside leadership.

This is a hands-on operational finance role with real ownership — not just data entry. You will work closely with leadership in structured financial review meetings, using clear dashboards and reporting systems to guide informed decisions.

What You’ll Own

Grand Home Inspection carries the largest employee and revenue footprint; Grand Machine & Design is where the majority of AP/AR activity occurs; Peace Out Pests operates at a small scale and requires minimal financial administration.

Financial Integrity & Reporting (Primary Focus)

Maintain accurate general ledgers across two entities
Perform monthly bank and credit card reconciliations
Ensure books remain CPA-ready at all times
Close each month cleanly and consistently
Prepare internal financial summaries and maintain reporting dashboards
Monitor cash flow timing and identify irregularities
Flag trends, discrepancies, or margin shifts
Participate in regular financial review meetings with leadership
Coordinate documentation and communication with CPA

You will not operate in isolation. We have structured systems and consistent reporting rhythms — your role is to maintain their precision and contribute meaningful financial insight.

Accounts Payable

Code and enter vendor invoices
Maintain approval workflows
Process ACH/check payments
Monitor payment timing in alignment with cash flow planning
Maintain vendor documentation and records

Accounts Receivable

Generate and issue invoices (Grand Machine & Design)
Monitor incoming payments
Follow up on overdue balances
Maintain accurate AR reporting
Respond to billing inquiries professionally

Payroll Administration

Process bi-weekly payroll accurately and on time
Review and approve time submissions
Make payroll adjustments when necessary
Coordinate with payroll provider
Ensure payroll compliance and reporting accuracy

Limited HR Administrative Support (Secondary)

Coordinate payroll setup for new hires
Maintain employee documentation
Assist with benefits enrollment updates
Process offboarding paperwork

(This role does not manage HR strategy, employee relations, or compliance leadership.)

Must-Haves

3+ years of bookkeeping or financial operations experience
Strong understanding of GAAP-based bookkeeping principles
Experience managing monthly close processes
Payroll processing experience
Ability to manage multiple entities simultaneously
High level of integrity
Comfort participating in financial review meetings

Ideal Experience

QuickBooks proficiency across multiple entities
Familiarity with job costing platforms a plus.
Experience working directly with owners or leadership teams
Familiarity with service-based or construction-related businesses
Experience maintaining dashboards or financial reporting tools
