Duties

Respond promptly to customer inquiries via phone, email, and live chat using multi-line phone systems and email platforms like Google Workspace and Microsoft Office.
Manage appointment scheduling, calendar coordination, and office management tasks with precision and efficiency.
Utilize data entry skills to update customer records accurately in spreadsheets and CRM systems.
Provide front desk support by greeting visitors, handling phone communication with professionalism, and managing office filing systems.
Assist with basic bookkeeping tasks, including invoicing and record keeping using QuickBooks or similar software.
Support client communication efforts by proofreading correspondence, maintaining organization of client files, and ensuring timely follow-up.
Collaborate with team members on administrative projects, demonstrating strong organizational skills and time management.

Skills

Exceptional computer literacy including proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and productivity software.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
Excellent phone etiquette with experience managing multi-line phone systems and providing customer support.
Bilingual abilities are highly valued to serve diverse client needs effectively.
Proven clerical experience including data entry, filing, proofreading, and office management.
Familiarity with technical proficiency in office equipment such as printers, scanners, and phone systems.
Experience in front desk or medical/dental receptionist roles is a plus for understanding client interaction dynamics.
Ability to handle confidential information discreetly while maintaining high accuracy in documentation.
Strong time management skills to prioritize tasks effectively throughout the workday.
