POSITION SUMMARY:

Under the supervision of the Executive Director of Camping Services, the Camp Administrative Coordinator will carry out the position’s responsibilities in accordance with established operating policies and procedures for the Sherman Lake YMCA Outdoor Center. The position provides administrative support to the three main Camp departments; Summer Camp, Integrated Education School Camping, and Retreats. This position requires the ability to role model Honesty, Caring Respect and Responsibility in all aspects of representing the Sherman Lake YMCA on the telephone and in-person. Oftentimes this person is the first introduction to the Sherman Lake YMCA and the first person to respond to those who may have questions or be upset.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

This position is to primarily serve as the Administrative Coordinator to the areas of Summer Camp, Integrated Education and Retreats for year round programming.

Provides phenomenal customer service by serving as the initial point of contact for camping and retreat services by answering phones, greeting all who walk through the door, responding to inquiries, and being the face of Camp.
Manages the master and department calendars in collaboration with the Directors.
Provides management and efficient operation of a well-run business office with skill in keyboarding, use and maintenance of office machines, filing, record keeping, and proficiency with common office software (G-Suite, Office, etc).
Co-responsible for office and lobby appearance.
Assists with all special events.
Order and maintain stock of office and copier supplies.
Accepts other responsibilities and assignments from time to time by the Directors.
Creating I.E. camper information packets.
Manage incoming health forms and data entry.
Prepares and maintains files of contracts for new and existing school groups.
Supports each school group and provides a warm, welcoming environment, including preparing signage and meeting materials.

Retreats

Assist with the preparation of retreat services contracts and updates to retreat sales and meal counts spreadsheets.
Provide tours and act as group host when needed.
Coordinates space and staffing needs between retreats and the other departments.
Assists with all logistical aspects of Retreat operations, including but not limited to setting up program spaces, A/V and technical coordination of program schedules.

Summer Camp

Manages Camp Software database; open registration for the summer, financials, and more.
Assists camper families with registration, scholarship requests, payments, and receipts.
Completes reference check calls for all seasonal staff.
Print and distribute daily camper emails.
Handles registration and data entry for specific partnerships programs such as Family & Children Services.

QUALIFICATIONS:

Typing proficiency
Excellent telephone communications
Self-directed learner
Proficiency with office equipment and computer systems
Proficiency in spreadsheets and G-Suite applications
Experience and knowledge in office management

While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and must be able to communicate using a computer and phone. The employee frequently is required to sit and reach, and must be able to move around the work environment.
The employee must occasionally lift and/or move up to 25 pounds.
Work up to 30 hours per week on a flexible schedule. Workload may vary by season, with busier periods during peak camp operations.
