Job Description:
Position: Office Administrative Assistant
Location: Kalispell, Montana
Position Type: Full-time
Weekly day range: Monday to Friday

Job Summary:
The Office Administrative Assistant will play a crucial role in the day to day operations of our business by ensuring administrative, accounting, inventory, and office processes run efficiently and smoothly. This position requires strong organizational skills, attention to detail, and the ability to collaborate effectively with the Owner, VP of Sales, bookkeeping, marketing, sales, and operations teams while providing excellent support to customers and internal staff.
Key Responsibilities:
- Oversee daily office operations and administrative functions
- Conduct routine inventory checks and maintain accurate records in QuickBooks Online
- Receive, count, and record inbound inventory
- Coordinate LTL shipments, including creating Bills of Lading
- Analyze inventory reports and perform adjustments as needed
- Answer phone calls and manage inbound website leads
- Support marketing initiatives (e.g., product promotions, inventory data coordination)
- Collaborate with bookkeeping, payroll, marketing, and sales teams
- Process sales orders accurately and efficiently, ensuring all necessary documentation is complete and compliant with company policies.
- Maintain a comprehensive understanding of our products/services, pricing structures, and sales processes to effectively address customer inquiries.
- Update CRM system with accurate and up-to-date information regarding sales activities, customer interactions, and order statuses.
- Enter sales orders and submit supplier purchase orders.
- Facilitate proof process.
- Assist in content creation for marketing and website
- Assist our production team when needed.
- Work on special projects as required.
Qualifications:
- Background in accounting or bookkeeping required
- Proficiency in QuickBooks Online and Microsoft Office (Excel, Word, Outlook)
- Strong organizational skills and attention to detail
- Excellent communication and customer service abilities
- Experience with inventory management and order processing
- Ability to work independently and as part of a team in a fast-paced environment.
- Demonstrated ability to multitask and prioritize tasks effectively.
- Willingness to learn and adapt to new technologies and processes.
- Ability to lift up to 50 lbs occasionally.
