Job Summary

We are seeking an energetic and highly organized Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative workflows. Your positive attitude and professional demeanor will help create a friendly environment for visitors, clients, and team members alike. The ideal candidate will possess strong clerical and customer service skills, ensuring that all interactions reflect our commitment to excellence.

Duties

Greet and assist visitors in a friendly and professional manner.
Manage incoming phone calls, providing excellent phone etiquette and directing calls as necessary.
Perform clerical duties including data entry, filing, and maintaining office organization.
Schedule appointments and manage calendars for staff members.
Handle correspondence, both electronic and paper, ensuring timely responses.
Maintain an orderly front desk area, ensuring it is always presentable.
Assist with office management tasks as needed to support overall operations.
Provide personal assistant support to executives or managers when required.

Qualifications

Proven experience in a clerical or office role, preferably as a receptionist or front desk associate.
Strong customer service skills with the ability to communicate effectively with diverse individuals.
Excellent phone etiquette and interpersonal skills.
Proficient in data entry with attention to detail.
Familiarity with calendar management tools and scheduling software.
Basic computer literacy, including proficiency in Microsoft Office Suite or similar applications.
Ability to multitask effectively while maintaining a high level of organization.

Duties

Greet visitors, clients, and vendors warmly, ensuring a positive first impression of the organization
Answer multi-line phone systems promptly and professionally, directing calls accurately to appropriate departments or personnel
Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
Handle data entry tasks with precision, maintaining accurate records in spreadsheets and office management systems
Perform clerical duties such as filing, proofreading documents, and managing correspondence
Assist with office supply inventory management and procurement processes
Support administrative tasks including document preparation, word processing, and basic bookkeeping using QuickBooks or similar software

Qualifications

Proven experience in office management or administrative support roles with strong clerical skills
Excellent computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry tools
Familiarity with multi-line phone systems and phone etiquette to handle inquiries efficiently
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Strong organizational skills with the ability to prioritize tasks and manage time effectively
Customer service experience demonstrating professionalism and patience in client interactions
Technical proficiency in office productivity software, spreadsheets, and calendar management tools
Previous experience with front desk responsibilities or personal assistant roles is highly desirable
