Marketing Operations & Automation Associate
About the Role
Canopy & Vine relies on a variety of systems, automations, integrations and reporting tools to support marketing for our clients. Many of these systems were developed to eliminate repetitive work, connect platforms and improve the accuracy and efficiency of our marketing operations.
The Marketing Operations & Automation Associate will work closely with our existing operations and automation leadership to learn these systems, support their day-to-day operation, document how they work and gradually take ownership of defined processes and tools.
This is a junior role. We do not expect you to arrive knowing our systems or technology stack. We are looking for someone who is technically curious, detail-oriented, comfortable learning new technology and interested in understanding how systems work.
The long-term goal of this position is to develop a second layer of knowledge across our critical systems so that important processes are documented, maintainable and not dependent on a single individual.
What You’ll Do Learn & Document
- Work closely with the Operations team to learn existing automation, integrations, reporting tools and workflows.
- Document systems, processes and troubleshooting steps as you learn them.
- Build and maintain internal documentation so team members can understand and support key systems.
- Develop an understanding of how our marketing, CRM, reporting and operational systems connect.
Support Existing Systems
- Assist with maintaining and troubleshooting existing automations and scripts.
- Monitor recurring processes and identify issues before they become larger problems.
- Make approved updates to existing scripts, templates, workflows and automations.
- Help manage routine data processing, file transfers and reporting processes.
- Assist with integrations and data movement between systems such as HubSpot, Google Workspace and other marketing or vendor platforms.
- Investigate errors and unexpected results by reviewing logs, testing processes and tracing the source of problems.
Build & Improve
- Identify repetitive manual processes that could be improved or automated.
- Assist in developing small automation projects and internal tools.
- Build and modify spreadsheets, scripts and other tools that improve efficiency and reduce manual work.
- Use AI tools to assist with coding, troubleshooting, research and process development while carefully reviewing and testing all generated work.
- Gradually take ownership of a defined group of systems or processes as knowledge and experience grow.
Collaborate
- Work with Account Services, Creative, Media and other teams to understand operational needs and identify opportunities for improvement.
- Help translate business needs into practical technical solutions.
- Communicate clearly when a system is not working as expected or when additional support is needed.
- Maintain a high level of care when making changes to systems that affect client or internal operations.
What We’re Looking For
Required
- Strong interest in technology, automation and problem-solving.
- Ability to learn unfamiliar systems quickly.
- Strong attention to detail and a methodical approach to troubleshooting.
- Comfortable working with spreadsheets, data and technology.
- Some experience with programming, scripting, automation or other technical projects through work, school, personal projects or other experience.
- Ability to read and understand existing code with guidance.
- Strong written and verbal communication skills.
- Willingness to ask questions, learn from mistakes and document what you learn.
Preferred
- Experience with JavaScript, Python or Google Apps Script.
- Familiarity with APIs and how software systems exchange data.
- Experience with HTML/CSS.
- Experience with HubSpot or another CRM/marketing platform.
- Experience working with Google Workspace and Google Sheets.
- Experience using AI coding or productivity tools.
- Experience with marketing operations, digital marketing or an agency environment.
What We Are Not Looking For
You do not need to be an experienced software engineer or systems architect.
We would rather hire someone who is curious, careful and capable of learning than someone who knows a particular platform but does not approach systems thoughtfully.
A computer science degree or prior senior-level engineering experience is not required.
What Success Looks Like
First 90 Days
- Learn the agency’s primary systems and automation environment.
- Shadow existing processes and assist with defined tasks.
- Begin creating and improving documentation.
- Develop an understanding of common issues and troubleshooting procedures.
Months 4–6
- Independently handle defined support and maintenance tasks.
- Make small, reviewed updates to existing automations and systems.
- Take responsibility for selected recurring processes.
- Continue documenting systems and identifying opportunities for improvement.
Months 7–12
- Become the primary backup for a defined group of systems and processes.
- Troubleshoot common issues with limited supervision.
- Take ownership of smaller automation and process-improvement projects.
- Build enough knowledge to provide meaningful coverage when the primary owner is unavailable.
Long Term
The goal of this position is to become a reliable second resource for the agency’s operational technology and automation systems. As knowledge and experience grow, the role can expand into building new automations, improving existing systems and taking ownership of increasingly complex projects.
Ideal Candidate
The ideal candidate is someone who enjoys figuring out how things work.
You may be early in your career, recently out of school, transitioning into a technical career or simply someone who has developed strong technical skills through personal projects and hands-on experience.
You don’t need to know everything. You do need to be comfortable learning, asking questions, reading unfamiliar code, testing your work and taking responsibility for the systems you touch.
