3. ABOUT THIS POSITION
The Front Office Coordinator is a key part of the patient experience at Premier Integrative Health. As the first point of contact for many patients, you help create a welcoming, professional, and well-organized environment from the moment they arrive.
In this role, you will take ownership of the day-to-day front office experience, including welcoming patients, answering calls, managing schedules, following up on messages, maintaining accurate records, supporting supplement inventory, and helping the clinic run smoothly throughout the day.
Your work has a direct impact on both patients and the wider team. When the front office is organized, responsive, and dependable, patients feel cared for and our providers are able to stay focused on delivering exceptional care. This position is far more than answering phones or managing schedules. It is the heart of the patient experience.

4. KEY RESPONSIBILITIES
Patient Experience & Front Desk Ownership
- Welcome every patient warmly and professionally, in person and on the phone
- Own the front desk as the first and last point of contact for every visit
- Maintain consistent physical coverage of the front desk throughout business hours
- Answer and return calls and messages with clarity, kindness, and speed
- Maintain accurate, organized records of every patient interaction and follow-up
Operations & Clinic Flow
- Work daily within Cerbo (EMR), Google Workspace, Slack, and Asana
- Manage and protect provider schedules - accurate, current, and conflict-free
- Coordinate communication between the clinical and administrative teams
- Document actions, follow-ups, and operational needs so nothing relies on memory
- Track tasks to completion and close them out the same day wherever possible
Inventory & Vendor Coordination
- Own supplement inventory - track levels and reorder proactively within budget
- Coordinate directly with supplement companies and vendors
- Receive, verify, and distribute deliveries and mail
- Manage office supply levels so the clinic never runs short
- Coordinate packaging and logistics for group program materials
Office Environment & Stability
- Maintain a clean, welcoming, and professional clinic presentation
- Keep patient flow moving smoothly throughout the day
- Stay calm and steady during busy or high-emotion moments, and de-escalate disruptions
- Protect a peaceful, organized atmosphere for patients and team alike
Program & Event Support
- Assist with coordinating scheduling for group programs (Premier Metabolic Reset, Premier Health Collective)
- Help run in-office events and patient education evenings
5. SKILLS & QUALIFICATIONS
Required
- 2+ years of experience in a front desk, reception, or administrative role
- Warm, confident communication with a wide range of people
- Strong attention to detail and organizational discipline
- Comfort working across multiple software systems every day
- Personal accountability and consistent follow-through without reminders
- Reliable in-office attendance and punctuality
Preferred (Nice to Have)
- Experience in a healthcare, wellness, or clinical setting
- Experience working in an EMR or practice management system (Cerbo especially)
- Familiarity with Google Workspace, Slack, or Asana
- Personal interest in functional or integrative health
- Experience coordinating vendors or managing inventory
- Knowledge/Understanding about a variety of therapeutic grade supplements and how they are used.

7. COMPENSATION & BENEFITS
Salary: $23.00 per hour
Bonus Structure: Bi-annual team performance bonus, based on overall practice performance
Schedule: Full-time, 40 hours per week - Monday to Friday, 9:00am–5:30pm (30-minute lunch)
Location: In-person
Target Start: Fall 2026
Reports To: Practice Manager

8. WHAT SUCCESS LOOKS LIKE HERE
Success in this role means the front office is consistently organized, responsive, and running smoothly. Patients feel welcomed and supported, schedules and records are accurate, communication is handled promptly, and tasks are followed through to completion.
Over time, you will take full ownership of the day-to-day front desk responsibilities, with the goal of managing the role confidently and independently within your first 90 days.
